What they need
Overview Academics Manager
Astria Learning is an education-technology company that partners with universities and institutions worldwide to deliver high-quality, technology-enabled academic programs. We are looking for an experienced and detail-oriented Academics Manager to join our team and play a central role in ensuring our academic programs run with integrity, consistency, and excellence across every term.
In this role, you will serve as the operational backbone of our academic delivery — coordinating faculty, maintaining course quality, supporting students, and ensuring compliance with the standards of our partner institutions. You will be a key contributor to departmental discussions, a driver of continuous improvement, and a reliable point of contact for academic staff and institutional partners alike.
What you'll do
Academic operations and quality assurance
- Ensure all scheduled courses are fully prepared and operationally ready at the start of each academic term.
- Maintain and regularly update the academic course inventory and associated materials.
- Conduct ongoing audits of course content, structure, grading schemes, and policies to verify alignment with institutional and accreditation standards.
- Support curriculum design and revision processes, contributing to program development and accreditation efforts.
- Lead quality assurance activities including course backups, grading reviews, and instructional integrity checks.
Faculty management and development
- Manage the full faculty lifecycle: recruitment, onboarding, scheduling, and course assignment.
- Monitor faculty availability and ensure an equitable, appropriate distribution of teaching responsibilities each term.
- Evaluate faculty performance through audits, feedback collection, and student outcomes; support training initiatives that strengthen instructional quality.
- Cultivate productive relationships with academic staff across all partner institutions.
Student and learning platform support
- Provide academic and technical support to students using the Learning Management System (LMS), resolving issues related to access, navigation, and course engagement.
- Collaborate with the Student Success team to maintain accurate academic records, including grade corrections, enrollment updates, and transcript accuracy.
Thesis and dissertation coordination
- Oversee the full lifecycle of thesis and dissertation management: topic submission, faculty assignment, defense scheduling, and documentation.
- Ensure students and faculty meet institutional guidelines and deadlines for research-based coursework.
Cross-term and institution-specific responsibilities
- Manage the import, setup, audit, and publication of courses ahead of each academic term for partner institutions (e.g., CBU, LUANAR, UNZA, UNIMA).
- Oversee faculty assignments and LMS housekeeping to ensure course environments are accurate and ready for instruction.
- Coordinate timely grade uploads into institutional systems; execute grading audits and failed-student reviews.
- Administer orientation program deployment for incoming students and maintain program-specific onboarding materials.
- Enforce grade removal policies for withdrawn students and assist with clearance documentation.
- Facilitate the development and integration of grading rubrics, assessment policies, and course backup protocols.
What we're looking for
- A PhD or Master's degree in Education, Curriculum Development, Instructional Design, Educational Management, or a closely related field (PhD preferred).
- At least 3–5 years of experience in academic coordination, academic operations, or university-level teaching or administration.
- Solid understanding of curriculum development principles, accreditation standards, and academic compliance requirements.
- Demonstrated experience with LMS platforms such as Moodle or Canvas, and with academic data management systems.
- Excellent written and verbal communication skills in English.
- Strong analytical, planning, and organizational abilities with a high attention to detail.
- Ability to work both independently and collaboratively within a remote team environment.
- A genuine commitment to academic quality, student success, and continuous improvement.
Nice to have
- Experience working with international institutions, multi-campus structures, or cross-border academic programs.
- Familiarity with the academic standards or regulatory frameworks of institutions in Sub-Saharan Africa or other emerging-market higher-education contexts.
- Background in academic accreditation processes or quality assurance frameworks.
- Experience designing or managing student orientation programs at scale.
