What they need
Accounts Assistant – Accounts Payable & Receivable
London | £33,000–£35,000 per annum | Full-time, Permanent
Organic Recruitment is working with a growing UK-based group with interests across hospitality, food and beverage, events and property to find an experienced Accounts Assistant to join its in-house finance team.
This is a great opportunity for someone who enjoys a varied, hands-on finance role and is confident managing both Accounts Payable and Accounts Receivable across multiple businesses. Working closely with the Finance Manager within a small, collaborative team, you’ll play an important part in keeping day-to-day finance operations running smoothly and ensuring accurate, up-to-date financial records.
The Role
You’ll take ownership of the day-to-day purchase and sales ledgers, managing invoices, payments, reconciliations and queries across several group entities. The role offers a varied workload, with priorities shifting throughout the month and during seasonal peaks.
Key responsibilities will include:
- Processing supplier invoices, credit notes, staff expenses and petty cash transactions in Xero, ensuring correct coding, VAT treatment and authorisation.
- Managing the accounts payable inbox, maintaining accurate digital records and following up on missing information and outstanding approvals.
- Reconciling supplier statements, investigating discrepancies and resolving routine supplier queries.
- Preparing supplier payment runs and supporting documentation for review and approval.
- Raising customer invoices, processing authorised credit notes, allocating receipts and reconciling customer accounts.
- Monitoring outstanding event payments and liaising with the Sales team to ensure payments are received ahead of event dates.
- Maintaining booking and income spreadsheets, deferred income schedules and deposit refund records.
- Preparing approved customer refunds and producing aged receivables reports.
- Completing routine bank reconciliations and investigating unallocated payments.
- Supporting month-end and year-end reconciliations, along with general finance administration and team cover when required.
- Maintaining organised financial records and identifying practical ways to improve processes as you become familiar with the business.
About You
You’ll be an organised, proactive and detail-focused finance professional who can confidently manage routine AP and AR processes with minimal supervision. You’ll be comfortable working across multiple entities, balancing competing priorities and knowing when to investigate an issue or seek guidance. We’re looking for someone who can bring both accuracy and initiative to the role, with a practical approach to problem-solving and the confidence to communicate with colleagues and suppliers.
You’ll ideally have:
- Proven experience managing both Accounts Payable and Accounts Receivable independently.
- Good working knowledge of Xero and Microsoft Excel, with familiarity with Microsoft Word.
- A sound understanding of double-entry bookkeeping, bank reconciliations and routine UK VAT.
- Strong organisational skills and the ability to manage deadlines in a changing workload.
- Clear communication skills and a proactive approach to resolving queries.
- The confidence to work independently while contributing positively to a close-knit finance team.
Experience within hospitality, events, food and beverage or property would be advantageous, as would previous experience supporting multiple companies. Familiarity with booking, stock or CRM systems is also beneficial.
The Opportunity
You’ll be joining a supportive finance team within a diverse group of businesses, offering exposure to different operations and the opportunity to broaden your experience over time. As you develop your understanding of the group, there will be scope to contribute to improved processes and take on additional responsibilities.
