What they need

Description

We Don’t Just Fill Shifts. We Build Crews.

Odeum Labor Services (OLS) was born from the backstage world. Founded in 2024 through the merger of the Mind the Gap and Tinc Productions labor divisions, we bring 30 years of “in the trenches” experience to the market. We provide the skilled technicians, leads, and crews that make events, permanent installations, and brand activations happen.

We are looking for an Account Coordinator who is organized, detail-driven, and hungry to learn the business from the inside. You will work alongside our Director of Account Management and our Account Managers, keeping projects on track, paperwork clean, and clients well looked after. If you love live events, thrive on getting the details right, and want a real path into account management, this is your on-ramp.

At Odeum, our clients rely on us to show up, solve problems, and execute. Behind every job that runs smoothly is a lot of careful work: accurate estimates, clean communication, confirmed details, and paperwork that closes out on time. As Account Coordinator, that work is yours.

You will support a portfolio of client accounts, owning the deliverables that keep each job moving while the Director of Account Management owns the relationship. Your work will be reviewed and coached along the way, and you will learn the full client cycle from the first inquiry to the final invoice. Success in this role means nothing falls through the cracks, details are right the first time, and problems get raised early.

This role reports to our Director of Account Management and is designed as a path to Account Manager for the right person.

Key Responsibilities

  • Support Revenue Through Relationships: Help manage a portfolio of active accounts alongside our Director of Account Management and Account Managers. You understand that in our world, responsiveness is the ultimate competitive advantage, and you keep routine client requests moving quickly. When new requests and information come in from clients, you are on the updates and paperwork right away before it even has to be asked for.
  • Build the Quote: Turn defined project scopes into labor estimates using OLS rate cards and estimate building system. Every estimate is reviewed by an Account Manager before it goes out, and you will learn why our pricing is built the way it is. You flag scope gaps and overtime risks before they become problems.
  • Learn the Consultative Side: Sit in on client calls, listen to how needs get translated into crew configurations, and draft the follow-up that captures what was agreed. Over time, you will build the industry knowledge to advise clients yourself.
  • Keep the Pipeline Clean: Keep our CRM current for the accounts you support. Log activity the same day, keep notes up to date, and make sure every open deal has a next step. Accurate records are what let the team forecast and grow.
  • Site Presence and Relationship Building: This isn’t a behind-the-desk role. Join site visits, shop visits, and client meetings in your home market alongside our Account Managers, and travel to other markets as needed. Meet the crews, learn the venues, and become a familiar, reliable face.
  • Full-Cycle Support: From the first inquiry to final invoice reconciliation, you keep the paperwork moving. Prepare rosters and confirmations, save job documentation, follow up on timecard approvals, and prepare closeout and invoice details for review. You work closely with our Labor Deployment Managers so that everyone has the information they need, and you communicate clearly up and down the chain as plans shift.

Skills, Knowledge and Expertise

Industry-Curious and Production-Aware

  • 1 to 3 years in live events, theater, scenic fabrication, production coordination, or a related environment
  • You know your way around a load-in, or you are eager to learn the parts of the industry that you are not yet familiar with yet
  • Comfortable with CRM systems, spreadsheets, and scheduling platforms (Nowsta or similar), or quick to pick them up
  • Confident and calm when production plans change, which they inevitably will

Organized and Detail-Driven

  • You get details right the first time and own the fix when you don’t
  • You can track many moving pieces across several accounts at once without losing the thread
  • Strong written communication, from a client confirmation to an internal update, with strong verbal communication when a phone call is needed.
  • You ask early rather than sitting on a problem

A Relationship Builder in the Making

  • You genuinely enjoy people and building trust
  • Open to feedback and motivated to grow into an Account Manager role
  • Professional buy-in to the company’s mission and growth
  • Comfortable looking at a process, asking whether it’s working, and helping improve it

You are curious, not passive. Reliable, not rigid. Collaborative, not territorial.

Why Odeum?

We’ve created a high-performance, team-driven environment where accountability and growth go hand in hand, and we’re looking for people who are excited to rise to that level. We believe in fair wages for our team and exceptional service for our clients. As a growing firm, you won’t be a cog in a machine. You’ll learn directly from experienced Account Managers and have a voice in how we build our systems and culture.

  • Pay: $55,000 to $68,000 per year (commensurate with experience)
  • Remote Work: This is a remote role, and we are looking nationally for the right candidate. Candidates who reside in or near markets that we operate in are preferred but not required. Our work runs on show schedules, so this role includes some evening and weekend time.
  • Benefits: Health, Dental, and 401k with company match.
  • Flexibility: Remote-friendly team that works together, communicates directly, and keeps ego out of it.
  • Growth: A clear path from Account Coordinator to Account Manager as you build skills and take on your own accounts.
