About the role
As LexSWITCH EcoMobility Inc. scales its commercial operations across the Philippines, the financial backbone of the company must be equally strong. The Accounts Officer is a hands-on, detail-oriented finance role responsible for maintaining the accuracy and integrity of the company's day-to-day financial transactions from issuing sales invoices and processing supplier payments to managing petty cash and supporting bank financing applications. This role works closely with the Country Manager, the General Manager, and coordinates directly with LexBuild Group's HQ Finance team when required. It is well-suited for a finance professional who is organized, trustworthy, and takes ownership of their work.
Key responsibilities
- Prepare, review, and issue accurate sales invoices in a timely manner, ensuring all details align with sales agreements and delivery confirmations.
- Monitor outstanding receivables, follow up on overdue accounts, and maintain an organized AR aging schedule.
- Process and verify supplier invoices, ensuring accuracy and proper supporting documentation before payment.
- Prepare Payment Vouchers (PV) and coordinate the timely settlement of supplier obligations in accordance with approved payment schedules.
- Maintain an organized AP ledger and ensure all payments are properly recorded and filed.
- Coordinate regularly with the company's external accounting firm by providing complete and timely accounting records, supporting documents, and transaction summaries.
- Assist in the preparation, compilation, and organization of financial documents required for bank loan applications, credit line facilities, and other financing matters.
- Manage and administer the company's petty cash fund, ensuring all disbursements are properly documented with receipts and aligned with company policy.
- Process employee expense reimbursement claims accurately and promptly, verifying completeness of supporting documentation and compliance with approved expense policies.
- Conduct regular petty cash counts and prepare reconciliation reports.
About you
- Bachelor's degree in BS Accountancy, Accounting Technology, Financial Management, or a related field.
- At least 1 to 3 years of hands-on experience in an accounting, finance, or bookkeeping role, with direct exposure to accounts payable and/or accounts receivable functions.
- Proficient in Microsoft Excel (formulas, pivot tables, basic financial spreadsheets).
- Familiarity with accounting software such as QuickBooks, Xero, or similar platforms is a significant advantage.
- Demonstrated ability to prepare and process Payment Vouchers, sales invoices, expense reports, and petty cash records with accuracy and proper documentation.
- Basic understanding of BIR tax compliance, withholding tax, and VAT documentation is advantageous.
- Highly organized, discreet, and dependable with ability to take ownership of work, meet deadlines consistently, and maintain meticulous records.
- Clear written and verbal communication skills in English and Filipino; able to coordinate professionally with suppliers, banks, and external accountants.
- Must be able to report on-site full-time at Pasay City office.
