Account Specialist

Company Description Trinion America Inc. is an independent third-party logistics service provider for Hyundai Translead, America’s premier trailer manufacturer based in Tijuana, Mexico. The company supports fleet buyers and dealers across the United States, Canada, and Mexico by coordinating the delivery of new trailers to strategic markets. Trinion’s main office is in San Diego, California, with additional Trinion Mexico offices in Monterrey, Mexico City, and Tijuana.

Role Description The Account Specialist is a full-time, on-site role based in San Diego, CA. This position is responsible for managing customer accounts, coordinating trailer deliveries, and ensuring accurate and timely communication with fleet buyers, dealers, and internal teams. Day-to-day tasks include processing orders, tracking shipments, updating account information, and resolving customer inquiries or issues in a professional and timely manner. The Account Specialist will collaborate closely with logistics, finance, and operations to support smooth order fulfillment and billing. The role also involves preparing reports, maintaining documentation, and identifying opportunities to improve account performance and customer experience.

Primary Responsibilities

[Invoicing and Billing]

Generate and process invoices within the ERP system for multiple clients.

Issue invoices to external parties and oversee collection efforts.

Receive, validate, and input vendor bills into the ERP system.

[Document Management]

Manage the upload of requisite documentation to client portals.

Maintain meticulous records for customer and vendor accounts.

[Payment Processing]

Facilitate the recording of both customer and vendor payments.

Handle accounts payable and receivable processes, including invoice processing and expense report management.

[Deduction Management]

Investigate and resolve deductions in alignment with established company procedures.

[Financial Reporting]

Provide support in the preparation of periodic financial closings for revenue and cost of goods sold accounts.

Produce comprehensive reports for senior management, ensuring accuracy and timeliness.

[Data Management and Analysis]

Utilize SAP to classify, record, and consolidate numerical and financial data effectively.

[Reconciliation and Discrepancy Resolution]

Conduct daily bank reconciliations to monitor financial transactions and ensure accuracy.

Reconcile invoices and address discrepancies promptly and professionally with both customers and vendors.

Assist with month-end closing activities and accruals as required.

Qualifications

• Strong customer service and account management skills to support and retain client relationships.
• Solid analytical skills to interpret data, track orders, and monitor account performance.
• Effective communication skills, both written and verbal, for interacting with customers and internal teams.
• Basic finance knowledge to assist with billing, invoicing, and account reconciliation.
• Proficiency with office productivity tools and CRM or ERP systems.
• Ability to work on-site in San Diego, CA, and collaborate in a fast-paced logistics environment.
• Strong organizational skills, attention to detail, and ability to manage multiple accounts and deadlines.
• Relevant experience in logistics, transportation, or account coordination is preferred; associate or bachelor’s degree in business, logistics, or a related field is a plus.
