Accountant AP

Responsible for handling supplier invoices, payment processing, expense verification, and accounting support related to freight forwarding and logistics operations. The role ensures accurate recording of expenses, timely payments to vendors, and compliance with company accounting procedures and local regulations.

Accounts Payable Operations

• Verify and process supplier invoices, vendor bills, and staff reimbursements.

• Match invoices with supporting documents such as:

  • Job files
  • Purchase Orders (PO)
  • Delivery Orders (DO)
  • Freight invoices
  • Customs and transportation documents

• Ensure all expenses are properly approved before payment processing.

• Prepare payment vouchers and maintain payment schedules.

• Process local payments via bank transfer, cheque, or online banking.

• Vendor & Reconciliation Management

  • Reconcile supplier statements and resolve discrepancies.
  • Maintain vendor master records and payment terms.
  • Follow up on missing invoices or supporting documents.
  • Coordinate with overseas agents and shipping lines regarding billing issues.

  Financial & Reporting Duties

  • Prepare AP aging reports and payment forecasts.
  • Assist in month-end closing activities.
  • Support audit and tax documentation preparation.
  • Maintain accurate accounting records and filing systems.

  Compliance & Internal Control

  • Ensure compliance with company policies, accounting standards, and tax regulations.

  • Maintain confidentiality of financial information.

  • Support internal control procedures and audit requirements.Qualifications

    • Bachelor’s Degree in Accounting, Finance, or related field.

    • 1–3 years of experience in Accounts Payable or Accounting.

    • Experience in freight forwarding, logistics, shipping, or transportation industry is preferred.

    • Knowledge of accounting systems such as:

      • CargoWise
      • Shipthis
      • SAP
      • Express
      • ERP systems

    • Understanding of freight forwarding documents and logistics costs is an advantage.

    • Good command of English (reading and writing).

    • Proficient in Microsoft Excel and Microsoft Office.
