Accountant/ Operations Assistant

We are seeking an organized, detail-oriented Accountant & Operations Assistant to support our growing sales and commercial operations across Qatar, the United Arab Emirates (UAE), and the Kingdom of Saudi Arabia (KSA). This hybrid role sits at the intersection of commercial sales support, regional logistics, and basic accounting compliance.

The ideal candidate will manage end-to-end commercial documentation, coordinate product/service delivery across borders, ensure strict adherence to regional tax frameworks (UAE VAT, KSA ZATCA regulations, and pre-implementation tax readied systems in Qatar), and support sales teams across the GCC.

Key Responsibilities

1. Sales & Commercial Operations Support

• Prepare, review, and organize sales proposals, commercial quotations, purchase orders (POs), and job files for regional sales teams in Qatar, UAE, and KSA.
• Maintain complete and accurate digital job files for internal reporting and auditing purposes.
• Coordinate directly between sales, technical, and engineering teams to ensure project documentation aligns with client deliverables and timelines.

2. Cross-Border Logistics & Supplier Coordination

• Liaise with regional logistics providers and internal supply chain teams to manage order fulfillment and timely service/equipment delivery across the GCC.
• Serve as the primary administrative point of contact for regional suppliers regarding stock levels, purchase orders, and inventory inquiries.

3. GCC VAT & Financial Compliance

• Ensure commercial documentation adheres to destination-country tax frameworks:
• KSA: Maintain compliance with KSA VAT and ZATCA e-invoicing requirements.
• UAE: Verify UAE VAT treatment on taxable supplies, cross-border invoicing, and export documentation.
• Qatar: Track local commercial documentation and assist in tax/e-invoicing readiness under General Tax Authority (GTA) updates.
• Evaluate job files for tax compliance before invoicing, ensuring correct Tax Registration Numbers (TRNs), line-item tax application, and zero-rating/exempt categorizations for cross-border transactions.
• Assist finance teams with cross-border tax records and audit trails.

4. Client, Partner & Internal Coordination

• Serve as an operational contact for regional clients and partners to resolve billing, documentation, or administrative queries.
• Coordinate logistics, schedules, and materials for internal team training sessions and external client/vendor training workshops.
• Perform day-to-day administrative functions to maintain operational efficiency and compliance with regional corporate policies.

Key Requirements & Qualifications

• Education: Bachelor’s degree in Business Administration, Operations Management, Finance, or a related field. PGDCA or a relevant IT/Data certification is a plus.
• Experience: 1–3 years of experience in operations coordination, sales administration, or commercial operations. Experience in technical services, AV (Audio-Visual), or events industries is preferred.
• GCC Compliance Knowledge: Working understanding of basic accounting principles, commercial invoicing, and regional GCC VAT compliance (ZATCA e-invoicing and FTA regulations).
• Technical Proficiency: Advanced skills in Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Tables, nested formulas, dynamic dashboards, and data validation).
• Communication & Coordination: Excellent written and verbal English communication skills; strong ability to manage cross-border operational details across multiple time zones.
• Mobility: Willingness to undertake occasional business travel within the GCC region (Qatar, UAE, KSA) as operationally required.
