JOB DESCRIPTION

POSITION TITLE: Accounts Payable Specialist

EMPLOYEE STATUS: Non-Exempt

PRIMARY SUPERVISOR: Chief Financial Officer

DESCRIPTION OF POSITION:

The major segment of responsibility for this position is preparing accounting reports and the Accounts Payable accounting functions as related to the San Diego and Los Angeles District programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:

• Perform tasks related to Accounts Payable, vouchering and paying invoices for programs.
• Review invoices, documents and check requests for accuracy. Resolve invoice discrepancies as needed. Verify supporting documentation and approvals to assure audit requirements are met.
• Responsible for coding invoices so that the expense is recorded to correct account and cost center.
• Responsible for administration duties related to San Diego and Los Angeles District programs.
• Prepare and update spreadsheets using information from ExtendedReach software.
• Proficient in Microsoft Excel software.
• Maintain and distribute the San Diego and Los Angeles Transitional Housing + Foster Care monthly rent and stipend worksheets.
• Maintain San Diego and Los Angeles district programs accounting files.
• Responsible for maintaining Petty cash account for San Diego and Los Angeles district.
• Maintain Gift card tracking records for all San Diego and Los Angeles district programs.
• Responsible for sending San Diego and Los Angeles districts month end reports to Corporate Office.
• Assist with financial annual and program audits as needed.
• Generate monthly savings statements for all THP-NMD and THP Plus programs as well as managing GL accounts related to those transactions.
• At all times projects a favorable image of Walden Family Services.
• Work with housing specialists in San Diego and Los Angeles with apartment rents, utilities and fees invoices and payments.
• Work with social workers\case managers as it relates to youth
• Performs other duties as assigned and requested.

QUALIFICATIONS REQUIREMENTS:

• Minimum of 2 years accounting experience with Accounts Payable and General Ledger preferred, or equivalent educational background.

• Experience with Financial Edge software preferred.

• Proficient in Microsoft Excel.

• Must possess ability to perform under pressure in an environment of varied interests. Must have ability to multi-task in a fast paced environment while paying close attention to detail.

• Must possess ability to support the accounting department and maintain open communication with a diverse group of individuals.

• Must possess valid California driver’s license and have a good driving record.

• Fingerprint and Child Abuse Index clearances from the Department of Justice required.

• Must meet all requirements set by Community Care licensing pertaining to the hiring of employees by a licensed community care facility.
