The ideal candidate is analytical, organized, and self-sufficient. Someone who takes initiative, identifies financial trends, develops useful reports, and recommends improvements without waiting to be asked.
Key Responsibilities
Accounting & Financial Management
- Independently manage the company's accounting software, bookkeeping, and financial records.
- Maintain accounts payable, accounts receivable, and general ledger records.
- Perform bank, credit card, and account reconciliations.
- Manage payroll processing, records, and related tax obligations.
- Prepare or coordinate federal, state, and local tax filings, including applicable payroll and sales taxes.
- Work with outside accountants as necessary for tax preparation and compliance.
- Monitor expenses, cash flow, liabilities, and financial deadlines.
- Maintain accurate financial records and establish consistent reporting procedures.
Financial Analysis & Reporting
- Develop and monitor departmental budgets.
- Analyze profitability across departments, locations, and sales channels.
- Create financial dashboards, charts, graphs, and reports for company leadership.
- Track revenue, expenses, profit margins, and operating costs.
- Compare actual expenses against budgets and identify discrepancies.
- Identify financial trends, unnecessary spending, and opportunities to improve profitability.
- Provide regular financial summaries and actionable recommendations.
- Help establish financial KPIs and improve existing reporting systems.
Office Management & Administration
- Assist with employee records, onboarding, and general HR administration.
- Maintain insurance records, renewals, and administrative compliance.
- Coordinate vendor payments, purchasing, supplies, and invoices.
- Assist with freight scheduling and miscellaneous administrative projects.
- Develop organized systems for recurring tasks, deadlines, and documentation.
- Support company operations as needed.
Qualifications
Required:
- Experience independently managing business financial records.
- Strong understanding of reconciliations, payroll, and business tax obligations.
- Experience with QuickBooks or comparable accounting software.
- Proficiency with Microsoft Excel or Google Sheets.
- Ability to create financial reports, budgets, charts, and graphs.
- Strong analytical, organizational, and problem-solving skills.
- Ability to work independently and take ownership of responsibilities.
Preferred:
- Experience with departmental budgeting, forecasting, and profitability analysis.
- Experience with multi-location retail, e-commerce, or inventory-based businesses.
- Experience creating financial dashboards and performance reports.
- Experience preparing or coordinating business tax filings.
- Experience improving existing accounting systems or financial processes.
A college degree is not required. We value demonstrated experience, technical ability, and initiative over formal education.
Who We're Looking For
We're looking for someone who takes ownership of their responsibilities and actively looks for ways to improve the business.
Someone who doesn't just report that expenses increased, but investigates why. Someone who can develop a departmental profitability report without being asked and identify opportunities to improve margins.
Our workplace is casual and fast-paced, but we take accountability, accuracy, and getting things done seriously.
