Accounting Assistant

Responsibilities

• Accounts Payable / Data Entry: Review vendor invoices, verify proper Manager approval, and accurately enter approved invoices into QuickBooks Online.
• Review vendor account balances and reconcile them against system records; identify and report discrepancies for resolution.
• Post weekly factoring payments and maintain accurate payment records.
• Prepare and update Accounts Receivable Aging Reports, monitor past-due invoices, and assist with collection follow-up to ensure timely resolution.
• Maintain accurate and organized accounting records, supporting documentation, and electronic/physical files.
• Communicate with vendors, customers, and internal departments to obtain invoices, receipts or other required documentation.
• Provide general accounting and administrative support and assist with additional responsibilities as assigned by the Senior Accountant.

Requirements

• Minimum 1 year of hands-on experience with QuickBooks Online.
• Basic accounting knowledge, including Accounts Payable and Accounts Receivable.
• Working knowledge of Microsoft Excel and Outlook.
• Proficiency with a 10-key numeric keypad; speed and accuracy required.
• Bilingual – fluent in English and Spanish.
• Strong organizational skills and attention to detail.
• Ability to prioritize tasks, follow up on pending items, and meet deadlines.
• Ability to work independently, take initiative, and problem-solve when appropriate.
• Ability to work effectively as part of a team.
• High ethical standards, professionalism, reliability, and confidentiality.
