Accounting Assistant

Position Overview: The Accounting Assistant supports the Finance Manager by handling transactional finance operations, ensuring accuracy and efficiency in accounts payable, accounts reconciliation, and customer billing processes. This role plays a critical part in maintaining accurate financial records and supporting the company’s overall financial health.

Key Responsibilities:

• Accounts Payable: Enter invoices into QuickBooks and DockMaster, verify accuracy, and process payments in a timely manner.
• Accounts Reconciliation: Reconcile bank accounts, credit cards, and vendor accounts to maintain accurate financial records.
• Billing & Invoicing: Prepare customer invoices and ensure timely billing. Maintain an accurate accounts receivable sheet.
• Customer Relations: Communicate with customers regarding billing inquiries and discrepancies.
• Regulatory Support: Assist in preparing documentation for audits and regulatory filings.
• Process Improvement: Identify opportunities to improve efficiency and accuracy in financial processes.
• Assist Finance Manager with special projects as needed.

Qualifications:

• Associate degree in Accounting, Finance, or related field preferred.
• 2+ years’ experience with QuickBooks and Microsoft Office Suite, particularly Excel.
• 2+ years' experience in an administrative role.
• Strong organizational and attention-to-detail skills.
• Excellent communication skills and a customer-focused approach.
• Ability to handle sensitive information with confidentiality.

Wage is dependent upon experience.
