What they need

About the role

The Accounting Assistant works directly with the VP of Finance and supports accounting across the full business; vendors, projects, payroll, cash and reporting.

We are a growing, privately held elevator construction and service company. The finance team is small and hands-on, and the processes we use are ones we are building and improving now, not inheriting.

Because of the direct reporting line, this role gets broad exposure to every area of accounting and finance rather than a single narrow function. It is a strong place to build a well-rounded foundation.

What you will do

Accounts payable and vendor management

  • Review vendor bills in BILL.com for accuracy, approvals and correct coding
  • Match invoices to purchase orders and job numbers so costs land on the right project
  • Prepare the weekly check run and vendor payment batches for VP of Finance approval
  • Maintain vendor records, W-9s and 1099 reporting

Job costing and project accounting

  • Code labor, materials and subcontractor costs to projects in QuickBooks Online
  • Reconcile project costs between LiftKeeper (field operations) and QuickBooks
  • Support the monthly work-in-progress (WIP) schedule and over/under billing review

Payroll and union benefits support

  • Assist with bi-weekly payroll processing in QuickBooks Payroll, including hours review and pay type coding
  • Prepare monthly union benefit remittances (IUEC / NEI trusts) from field work logs
  • Maintain employee payroll records, deductions and new-hire setup

Month-end close and reporting

  • Prepare bank and credit card reconciliations for all entities
  • Draft recurring journal entries (payroll, accruals, prepaids, depreciation)
  • Help build the monthly operating report package sent to ownership
  • Pull supporting schedules and documents for the annual financial statement audit

Cash and banking

  • Update the weekly cash projection with actual receipts and disbursements
  • Record deposits and customer payments; support AR follow-up as needed
  • Reconcile intercompany activity between entities

General

  • Keep organized digital files that an auditor or new team member could follow
  • Spot problems early and raise them, a wrong job code, a duplicate bill, a missing approval
  • Take on process improvement projects as the group grows

What we are looking for

Required

  • Associate's or bachelor's degree in accounting, finance or a related field, or equivalent experience
  • 2+ years of hands-on accounting experience (AP, payroll, reconciliations or general ledger)
  • Solid Excel skills, pivot tables, lookups and the ability to tie a schedule to the GL
  • Strong attention to detail and the discipline to keep clean, documented work
  • Comfortable working independently in a small, fast-moving team

Preferred

  • Experience in construction, field service or another project-based business
  • Exposure to job costing, WIP schedules or progress billing
  • Experience with union payroll or benefit trust reporting
  • Prior work at a private equity-backed or multi-entity company
  • Familiarity with BILL.com or a similar AP automation tool

Who does well here

The person who thrives in this role is curious, likes to understand why a number is what it is, and would rather dig into a problem than route it to someone else. You are organized without being rigid, you ask questions when something looks off, and you are comfortable being the person who knows where everything is.

Where this role can go

You will work directly with the VP of Finance and get exposure to areas that are usually out of reach in an assistant-level role:

  • Month-end close, financial reporting and the annual audit
  • Cash forecasting and banking
  • Payroll, benefits and union reporting
  • Systems and process improvement projects

As the company grows, this seat is the natural path to Staff Accountant and beyond.

Pay: $29.73 - $35.80 per hour

Expected hours: 40.0 per week

Benefits:

  • Dental insurance
  • Health insurance
  • Paid time off
  • Vision insurance

Work Location: In person
