Accounting Coordinator

Consolidated Flooring is hiring two Accounting Coordinators to join our Addison team. In this role, you’ll help keep billing accurate, payments organized, and project documentation moving forward while working closely with Accounting, Sales, and Project Management.

If you have experience in billing, accounts receivable, accounting support, or administration and are interested in learning the construction industry, this could be a great next step.

What you’ll do

• Prepare and post customer invoices, including AIA construction payment applications.
• Prepare and track lien waivers and supporting billing documents.
• Review contracts, change orders, and project records for billing accuracy.
• Monitor accounts receivable, follow up with customers about outstanding payments, and maintain clear collection records.
• Research billing discrepancies and help resolve issues that could delay payment.
• Prepare daily bank deposits, apply payments, and update accounting records.
• Generate billing and accounts receivable reports for internal teams.
• Support certified payroll reporting, contractor prequalification submissions, and construction insurance documentation, including OCIP and CCIP requirements.
• Maintain organized records and communicate with customers and colleagues to resolve account questions.

What you’ll bring

• A high school diploma or equivalent.
• Proficiency with Microsoft Excel, Word, and Outlook.
• Strong attention to detail, organization, and follow-through.
• Clear written and verbal communication skills.
• The ability to manage competing deadlines and handle financial information confidentially.
• A collaborative approach and willingness to learn new systems and processes.

Helpful experience

Previous work in accounting support, accounts receivable, billing, accounts payable, or a related administrative role is preferred. Construction accounting or commercial flooring experience is a plus, as is familiarity with AIA billing, lien waivers, certified payroll, or construction insurance documentation.

You do not need experience with every construction process listed to be considered.

Position details

• Two available openings in Addison, Illinois.
• Full-time, on-site schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.
• Annual base pay of $40,000–$50,000, based on experience.
• No travel required.
