Accounting Manager – Transactions (AP/AR)
Reports To / Location
Reports To: VP of Finance and Accounting
Location: Office
Position Summary
Owns the end-to-end transactional accounting function across all Schwob Energy entities (Schwob Energy Services, Full Tilt Concrete, Full Tilt Holdings, and affiliates) — accounts receivable and accounts payable. Directly manages accounts receivable (billing, cash application, and collections) and directly supervises the accounts payable function, including the Colombia-based AP Supervisor, to ensure vendor invoices and payments are processed accurately, timely, and in compliance with company controls across a multicompany environment. Owns vendor management end to end — new vendor setup, tax/1099 compliance, ACH and banking updates, and job/G&A coding — along with AP inbox management and lien waiver (conditional and unconditional) collection and tracking. Serves as the operational link between day-to-day transactional processing and the General Ledger, working in close partnership with the Controller.
Key Responsibilities
Accounts Receivable Ownership
Own the full AR cycle across all entities: customer invoicing, cash application, and collections.
Manage AR aging, proactively follow up on past-due accounts, and resolve billing disputes.
Accounts Payable Supervision & Quality Control
Directly supervise the AP Supervisor (Colombia) and the broader AP function across all entities.
Set and enforce AP policies, coding standards, and approval workflows for the multicompany environment, including correct job cost vs. G&A coding across all entities.
Review and QC outsourced AP work — invoice coding, 3-way matching, and payment batches — before posting/payment.
Multicompany Transactional Coordination
Ensure correct entity coding and allocations on all AP/AR transactions.
Coordinate consistent transactional processes across Schwob Energy Services, Full Tilt Concrete, Full Tilt Holdings, and affiliates.
Partner with the Controller each close to ensure AP/AR activity, accruals, and aging flow accurately into the GL.
Vendor Management & Compliance
Own new vendor setup and ongoing maintenance across all entities: collect and validate W-9s, determine tax classification, and flag/manage 1099 vendors for accurate year-end filing.
Manage vendor banking and ACH update requests, following a verification/callback process on every change request to prevent payment fraud.
Manage the AP inbox daily: triage incoming invoices, vendor statements, and correspondence, and ensure timely routing, response, and resolution.
Collect, track, and validate lien waivers — conditional and unconditional, partial and final — from vendors and subcontractors before releasing payment, per job and contract requirements.
Serve as the escalation point for vendor payment issues; manage payment terms and credit decisions in coordination with leadership.
Maintain vendor master files and customer credit files, ensuring vendor and job/G&A coding stays accurate across all entities.
Team Leadership & Process Controls
Manage performance, training, and day-to-day direction of the Colombia AP Supervisor and any future AP/AR staff.
Identify and implement process improvements, including AP automation and invoice-capture tools.
Maintain internal controls over AP/AR — segregation of duties, approval limits, and fraud-prevention checks (including ACH/vendor banking change verification and lien waiver compliance).
Reporting & Month-End Support
Deliver AP/AR accrual entries and aging summaries to the Controller in time for close.
Prepare AP/AR KPI reporting for leadership (DSO, DPO, aging trends, outsourced-team quality metrics).
Support audits and lender/bonding requests with AP/AR schedules and documentation.
Track and report lien waiver compliance status (waivers received vs. payments released) to the Controller and leadership.
Minimum Qualifications
- Bachelor's degree in Accounting, Finance, Business, or a related field (or equivalent experience).
- 4+ years of accounts payable/receivable experience, including 1–2 years in a supervisory or lead capacity.
- Experience managing remote, offshore, or outsourced staff.
- Experience in a multicompany/multi-entity environment.
- Proficiency with an ERP/accounting system and advanced Excel skills.
- Strong attention to detail and a process/internal-controls orientation, including vendor compliance (W-9/1099) and payment fraud-prevention practices (ACH/banking-change verification).
Preferred Qualifications
- Experience in construction, energy services, or a similar project-based industry.
- Bilingual English/Spanish (supports direct collaboration with the Colombia-based AP team).
- Experience implementing AP automation tools (OCR/invoice capture, payment platforms).
- Prior experience standing up or restructuring an outsourced accounting function.
- Experience with construction payment compliance — lien waivers (conditional/unconditional), job cost coding, and subcontractor/vendor compliance documentation.
