About the role

We are hiring a full-time Accounting Specialist (AP) based in South Jakarta. You will play a key role in managing payable operations, vendor reconciliations, and tax compliance within our freight forwarding and logistics ecosystem, ensuring financial accuracy and operational efficiency.

Key responsibilities

• Audit vendor invoices (shipping lines, trucking, warehouse, & customs) using 3-way matching against rate cards, job files, and shipping documents (B/L, AWB, Delivery Orders).
• Allocate vendor costs accurately to specific shipment job files in the ERP system to maintain correct job profit margins.
• Resolve rate mismatches, overcharges, or unexpected port/storage fees with operations and vendors prior to payment.
• Prepare and maintain AP Aging Reports regularly to track account payables, monitor payment due dates, and prioritize cash disbursements efficiently.
• Act as the main point of contact for vendor inquiries regarding invoice statuses, payment schedules, and account statement confirmations.
• Handle Indonesian tax calculations and withholdings (PPh 23/22/4(2) and PPN e-Faktur) and manage vendor tax certificates (Bukti Potong).
• Prepare payment schedules and execute bank transfers for local/overseas vendors, port charges, and driver advances according to credit terms.
• Reconcile vendor Statements of Account (SOA), general ledger accounts, and bank statements monthly to resolve outstanding balances.
• Process accruals for unbilled freight costs and assist in completing timely period-end accounting cycles.
• Maintain organized shipment and tax files, assist with financial reports, and serve as a contact for internal and external auditors.

What we're looking for

• Bachelor's Degree or Diploma in Accounting, Finance, or equivalent, with a minimum of 2–4 years of accounting experience, preferably within freight forwarding, logistics, or shipping companies.
• Proficient in written and spoken English for professional correspondence with international agents and vendors; fluency or business proficiency in Mandarin is a strong advantage.
• Understanding of freight forwarding cost structures and practical knowledge of Indonesian tax regulations (PPh 23, 22, 4(2), PPN / e-Faktur).
• High proficiency in Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Tables, SUMIFS) and hands-on experience using ERP or logistics/accounting systems
• Exceptional attention to detail in verifying multi-currency shipping invoices and documents, strong communication skills to coordinate with operations and external partners, unyielding professional integrity, and the ability to operate under tight closing schedules.
