About the Company

Our client is a 4PL and packaging company providing integrated logistics, transport and supply-chain solutions. With a busy operation and a broad customer base, they require an experienced Accounts Administrator who understands the relationship between logistics operations, supplier charges and customer billing.

About the Job

This is a fixed term contract starting immediately. It is initially four weeks but has the potential to become ongoing. The job is a varied accounts and administration role supporting the company’s transport, warehousing and packing operations. You will work closely with operational teams, customers, carriers and subcontractors to ensure costs are accurately checked, allocated and invoiced.

Key responsibilities will include:

• Processing and managing accounts payable and receivable.
• Reviewing carrier and subcontractor invoices against agreed rates.
• Preparing customer invoices and processing manual billing.
• Reconciling supplier, customer and general ledger accounts.
• Monitoring transport, freight, terminal, detention and demurrage charges.
• Ensuring all recoverable costs are correctly on-billed to customers.
• Maintaining customer and carrier rate cards and pricing schedules.
• Completing daily and monthly bank reconciliations.
• Investigating billing discrepancies and processing credit notes.
• Supporting margin analysis, weekly audits and operational reporting.
• Assisting with cash-flow, month-end and general finance administration.
• Working closely with transport, warehousing and packing teams to improve billing processes.
• Following up outstanding documentation, invoices and account queries.

About You

You will be an experienced accounts professional with a strong understanding of transport, logistics, freight forwarding or warehousing operations. You will be confident working independently, following up discrepancies and taking ownership of processes from beginning to end.

The successful candidate will have:

• Proven accounts payable, accounts receivable and reconciliation experience.
• Experience with transport billing, carrier invoices and customer invoicing.
• Knowledge of international freight, container movements, detention and demurrage charges.
• Experience reviewing operational activity to ensure all costs are captured and recovered.
• Strong attention to detail and confidence working with high volumes of transactions.
• Intermediate Microsoft Excel skills.
• Experience using logistics, transport or ERP accounting systems.
• EDI Cargowise and SAP experience would be advantageous.
• Strong communication skills and the ability to work with internal and external stakeholders.
• A proactive approach with excellent organisation and follow-up skills.
• The confidence to identify problems and introduce effective processes.
• You must have the legal right to work in New Zealand.
