What they need

About us

Freyberg High School is a co-educational state secondary school for Years 9–13, located in Palmerston North, with a roll of approximately 1000 students. We are committed to providing a supportive, inclusive, and engaging learning environment where students can thrive academically, socially, and personally. Our diverse school community values respect, wellbeing, and positive relationships.

About the Role

This is a key role within our finance function, providing high-quality financial administration and supporting the smooth and efficient operation of the school. Reporting to the Assistant Accountant and working closely with the Business Manager, school leadership and wider administration team, you will play an important role in ensuring our financial records and processes are accurate, timely and well maintained.

The Accounts Administrator will have responsibility for a range of financial administration functions, including:

  • Processing and coding supplier invoices and maintaining creditor records
  • Preparing payment runs and reconciling supplier statements
  • Assisting with monthly and year-end financial processes and reconciliations
  • Processing international student and homestay payments, including fee refunds and international bank transfers
  • Maintaining accurate records of international student accounts and agent commission payments
  • Maintaining and updating the school's fixed asset register, including purchases, disposals, transfers and write-offs
  • Assisting with asset verification, stocktakes and audit requirements
  • Preparing journals, reports and supporting documentation as required
  • Supporting internal and external audit processes
  • Maintaining accurate, confidential and well-organised financial records
  • Providing general administrative support to the school office, including reception cover when required

Skills and Experience

We are looking for someone who brings strong financial administration experience, excellent attention to detail and a high level of personal integrity.

You will ideally have:

  • Previous experience in accounts payable or a similar finance administration role
  • Strong knowledge of financial processes, reconciliations and record keeping
  • Proficiency in Xero accounting software
  • Advanced Microsoft Excel skills, including formulas, data analysis and reporting
  • Excellent organisational and time-management skills
  • The ability to prioritise competing tasks and consistently meet deadlines
  • Strong written and verbal communication skills
  • A professional, approachable and customer-focused manner
  • The ability to work independently while contributing positively to a team environment
  • A high level of confidentiality when dealing with financial and personal information

Experience within a school or education environment would be an advantage, as would knowledge of international student administration, fixed asset management, school financial processes or systems such as KAMAR, eSchool or similar.

This is an excellent opportunity for an experienced finance administrator who enjoys working in a people-focused environment and wants to contribute to the effective day-to-day operation of a busy secondary school.
