Accounts and billing executive

We are looking for an Accounts & Billing Executive with experience in accounting, invoicing, and billing activities, preferably from the Fire Fighting / Fire Protection / AMC / Engineering Services industry.

The candidate will be responsible for preparing customer invoices, maintaining accounts records, coordinating with clients and internal teams, and supporting timely collections and payment follow-ups.

Key Responsibilities

Billing & Invoicing

• Prepare monthly AMC/service invoices as per client contracts and work orders.
• Prepare invoices for AMC, maintenance, breakdown, and additional/extra works.
• Verify service reports, work completion reports, POs, and supporting documents before billing.
• Coordinate with site/project teams for required billing documents.
• Submit invoices to clients through email/portal as applicable.
• Track submitted, pending, rejected, and approved invoices.
• Follow up with clients regarding invoice approval and payment status.
• Maintain proper records of all invoices and supporting documents.

Accounts

• Maintain day-to-day accounting entries and records.
• Handle accounts receivable and payable activities.
• Prepare customer outstanding statements and payment follow-up reports.
• Reconcile customer accounts and resolve billing discrepancies.
• Coordinate with vendors for bills, payments, and documentation.
• Assist in bank reconciliation and other routine accounting activities.
• Maintain proper documentation for audit and statutory requirements.

GST & Compliance Support

• Assist in GST invoicing, reconciliation, and documentation.
• Ensure invoices contain correct GST details, HSN/SAC, PO reference, and other required information.
• Coordinate with the CA/accounts team for GST, TDS, and other statutory requirements.
• Maintain records required for audits and compliance.

Required Skills

• Good knowledge of billing and basic accounting principles.
• Experience with AMC/service billing will be preferred.
• Good working knowledge of MS Excel.
• Knowledge of Tally / ERP / accounting software.
• Good understanding of GST, TDS, debit/credit notes, and reconciliations.
• Strong follow-up and coordination skills.
• Good communication and documentation skills.
• Ability to manage multiple clients and billing requirements.

Preferred Candidate

• Experience in Fire Fighting, Fire Protection, MEP, Facility Management, Engineering Services, or AMC companies will be an advantage.
• Candidates with experience in monthly recurring AMC billing and client payment follow-up will be preferred.

Pay: ₹15,000.00 - ₹20,000.00 per month
