About the role
We are looking for a reliable, detail-oriented Accounts & Customer Service Administrator to run the day-to-day administrative cycle for both businesses: orders, invoicing, collections and customer queries. This is a hands-on, execution-focused role that combines accounts administration with direct customer contact and support for our sales team. It is not a logistics management position: on the operations side, the role is limited to following up inbound shipments, stock movements and their correct recording in SAP, working alongside our operations lead.

Key responsibilities

Accounts & finance administration

• Creating new customer accounts and updating pricing in SAP
• Liaising with our head office in Spain on new product set-ups and invoicing matters
• Posting customer receipts and processing supplier payments
• Following up overdue accounts and handling customer account enquiries
• Preparing monthly customer rebates and intercompany recharges
• Managing loan equipment agreements with customers and ensuring they are activated in the system
• Submitting trade credit insurance applications for new customers and quarterly sales declarations to the credit insurer
• Supporting month-end close
• Liaising with IT on SAP and system issues

Operations follow-up

• Following up the status of inbound shipments coordinated by our head office
• Following up goods receipts and outbound deliveries to ensure they are correctly recorded in SAP
• Monitoring day-to-day SAP operational activity (orders, deliveries and stock movements) and flagging any discrepancies
• Checking stock availability and communicating it to the sales team

Customer service & sales support

• Handling customer calls and enquiries
• Providing information and support to our sales representatives
• Assisting customers collecting orders at our warehouse
• Covering the customer service team during leave

About you

• 2+ years' experience in an accounts, administration or customer service role
• Experience with SAP or a similar ERP system (highly regarded)
• Familiarity with inventory transactions (goods receipts, deliveries, stock movements) in an ERP system
• Solid working knowledge of accounts receivable and payable processes
• Strong attention to detail and accuracy with data and numbers
• Confident, professional communicator by phone and email
• Organised, proactive and able to manage multiple priorities
• Proficient in Excel
