Accounts Payable & Receivable Specialist

Objective of this Role: The AP/AR Specialist will be responsible for the financial processing of transactions for the Parent Company and its subsidiaries. The position will report to the CFO. The overall objective is to assist the finance/accounting department in the data entry and capture of transactions for vendors, customers, and tenants.

Accounts Receivable Duties

• Invoice tenants and businesses for monthly rent and utility reimbursements.
• Maintain and update the rent roll spreadsheet.
• Enter customer and tenant payments and perform monthly reconciliations.
• Monitor and collect delinquent tenant and customer accounts.
• Enter checks received daily into WorkWave CRM and ensure deposits are made into the appropriate business checking accounts.
• Enter check and credit card payment transactions into NetSuite.
• Perform daily reconciliation of all payments received.
• Enter monthly collections from Universal and reconcile collections between Universal, WorkWave, and NetSuite.
• Review accounts receivable aging daily.
• Generate daily and weekly aging reports to monitor overdue balances and collection activity for tenants.

Accounts Payable Duties

• Process and enter all non-PO invoices into NetSuite Bill Pay after obtaining the appropriate approval and verifying that the GL account coding is accurate.
• For PO-related invoices, obtain and verify the purchase order, receiver approval, and invoice documentation in a timely and accurate manner. Request approvals as needed.
• Enter credit card purchases into NetSuite with accurate GL coding and supporting documentation.
• Collect PRFs for weekly reporting each Monday and process them accordingly.
• Assist with reconciling key vendor statements and obtaining missing invoices for vendors, including Cintas, Gill-Roy's, SiteOne, Banner, Foster's, Advanced Turf, Corrigan Oil, and WEX.
• Assist with obtaining missing credit card receipts from cardholders in a timely manner to support the month-end close process.
• File, maintain, and organize accounting documents, records, and reports.
• Perform Corporate Office inventory counts and record the related accounting entries.
• Perform other duties as assigned to support the Accounting and HR Departments.

Skills:

• Bachelor’s degree in business or accounting with 2+ years of experience in Accounts Payable.
• Competency with accounting software, preferable experience with Oracle NetSuite.
• Strong Excel skills.
• Data entry background with attention to detail.
• Comfortable with math and calculations.
• Good listening and communication skills.
• Strong ethics.
