About the role
Are you someone who loves keeping things organised, has a sharp eye for detail, and takes pride in getting the numbers right? If you’re methodical, reliable, and confident taking ownership, we’d love to hear from you.
We’re looking for an experienced Accounts Payable professional to join our Finance team in Timaru on a part-time basis, working 20 hours per week, and play a key role in ensuring our supplier accounts, payments, and financial records are accurate, timely, and well managed.
You’ll be responsible for the day-to-day management of Accounts Payable, from processing and coding supplier invoices through to payment runs, supplier statement reconciliations, and month-end reporting. You’ll also work closely with suppliers and the wider Aspect team to resolve queries, maintain accurate records, and ensure invoices are processed in line with company policies and payment terms.
This is a varied role in a growing business where no two days are the same. You’ll need to be organised, adaptable, comfortable managing competing priorities, and confident communicating with suppliers and colleagues across the business.
What you’ll be doing
Manage the day-to-day Accounts Payable process, including invoice extraction, coding, batching, processing, and posting.
Review and prepare supplier payment runs and employee expense claim batches, coordinating approvals and bank signatures as required.
Ensure invoices have the appropriate approvals in line with Aspect’s Delegations of Authority and meet GST and tax invoice requirements.
Maintain accurate supplier records and ensure supplier bank account details are kept up to date and accurate.
Monitor invoice processing and payment deadlines to ensure suppliers are paid within agreed payment terms.
Prepare and process urgent supplier payment runs each Tuesday.
Reconcile supplier statements to invoices received and resolve discrepancies or outstanding queries.
Assist with month-end Accounts Payable reconciliations, including reconciliation between supplier accounts and the General Ledger.
Ensure Accounts Payable processing and reconciliations are completed in line with the month-end calendar.
Respond promptly and professionally to supplier and internal queries relating to invoices, payments, and account statements.
Maintain accurate AP processes and documentation and support the team to follow consistent and compliant processes.
Support the broader Finance team and provide continuity cover for other finance functions when required.
Identify opportunities to improve Accounts Payable processes, systems, and ways of working.
