Accounts Payable Manager

Overview

Duties

• Lead and supervise the accounts payable team to ensure timely and accurate processing of invoices, expense reports, and vendor payments.
• Implement and optimize accounts payable automation tools to streamline workflows, reduce manual data entry, and improve accuracy.
• Ensure compliance with GAAP (Generally Accepted Accounting Principles), SOX controls, and internal policies across all financial transactions.
• Manage relationships with vendors, resolving discrepancies, processing inquiries, and maintaining positive partnerships.
• Oversee invoice matching, coding, approval workflows, and payment scheduling within financial software such as Workday, SAP, or Oracle.
• Conduct account reconciliations, journal entries, and double-entry bookkeeping to maintain accurate general ledger records.
• Prepare detailed reports using Excel data analysis techniques including formulas and VLOOKUP functions to support audit readiness and management decision-making.
• Collaborate with cross-functional teams including HRIS systems like ADP or UltiPro for payroll-related expenses and benefits administration.
• Maintain strict confidentiality of sensitive financial information while ensuring compliance with regulatory standards.
• Monitor accounts payable aging reports to optimize cash flow management and prevent late payments or penalties.

Experience

• Proven experience managing accounts payable functions within a fast-paced environment with a strong understanding of accounting systems such as PeopleSoft, Sage, or Ceridian.
• Extensive knowledge of financial concepts including debits & credits, journal entries, account reconciliation, and general ledger accounting.
• Familiarity with financial software such as Workday, Paychex, QuickBooks, Quicken, Microsoft Office Suite (especially Excel), Kronos for time tracking, and other ERP platforms like Oracle or SAP.
• Strong understanding of internal controls including SOX compliance procedures and audit requirements.
• Demonstrated ability to analyze large datasets using Excel formulas and advanced spreadsheet techniques for reporting purposes.
• Experience in public accounting or corporate finance roles with a focus on accounts payable automation and process improvement is highly desirable.
• Excellent organizational skills with attention to detail in data entry, invoice processing, and maintaining accurate records of transactions.
• Ability to handle confidential information responsibly while managing multiple priorities effectively in a collaborative environment.
