Accounts Payable Officer

Full-time · Reports to: Accounting Team Lead
Age open — we hire on skill and attention to detail. 1–3 years in accounts payable or general accounting; a Bachelor's in Accounting required.

For an accountant who believes the details are the job — that a three-way match done right and a withholding certificate filed on time are what keep a company honest. This is hands-on AP for a brand that makes and sells its own products: you'll check the documents, book the liabilities to the right accounts, prepare the payment runs, and tie out every vendor balance. You'll also see the food-business side up close — OEM costs, raw materials, cold-chain freight, and channel fees from CP All / CDC, modern trade, and e-commerce. We're building our finance function to IPO standard, so clean books and a real audit trail aren't nice-to-haves here — they're the point. You record and prepare; approval and payment sit elsewhere by design, and we'll back you when you hold the line on a document that isn't right.

WHAT YOU'LL DO

Book Liabilities & Check Documents

• Verify invoices and tax invoices — tax ID, address, line items, amounts — and run the three-way match (PO → goods receipt → invoice) before booking.
• Hold anything that doesn't match and flag it to the requester; book to the right chart of accounts, cost center, and period.
• Handle the food-business documents: OEM, raw materials, packaging, cold-chain freight, channel fees.

Tax & Statutory

• Prepare and keep withholding tax certificates (PND.3, PND.53) and input-tax data for the PP.30 return.
• Check full-form tax invoices against Revenue Department rules and chase corrections when they're incomplete.

Payments

• Build the payment run by due date and credit terms, and assemble complete approval packages for the authorized signers.
• Coordinate with whoever executes the transfer or cheque, record the settlement, and answer vendor questions on payment status.

Close & Reconcile

• Reconcile vendor sub-ledger to the control account and to key vendor statements.
• Accrue costs incurred but not yet invoiced, produce AP aging, and flag anything abnormal.
• Prepare documents and explanations for the external auditors.

Controls

• Keep documents for the legally required retention period and preserve the approval trail.
• Raise duplicates, out-of-sequence payment requests, or anything off to your lead immediately.

WHAT WE'RE LOOKING FOR

Must-have

• Bachelor's in Accounting.
• 1–3 years in accounts payable or general accounting.
• Hands-on with accounting software (Express, SAP Business One, NetSuite, or similar) and Excel at VLOOKUP / Pivot level.
• Understand withholding tax, VAT, and the conditions for a full-form tax invoice.
• Detail-oriented — and willing to push back when documents are incomplete, even when the request comes from a senior.

Nice-to-have

• Food & beverage or FMCG experience, especially with channel fees and OEM costs.
• Been through an external audit, or worked at a company preparing to go public.
• CPD-certified bookkeeper, or accumulating hours toward it.
• Read business English documents.
