Accounts Payable Officer (Offshore)

Key Responsibilities

1. Monitor the Accounts Payable inbox for supplier invoices and end-of-month statements, and submit invoices for processing.

2. Match each supplier invoice to the correct Purchase Order.

3. Where a Purchase Order is missing or doesn't match an invoice, liaise with the responsible person, follow up, and resume processing once resolved.

4. Review and correct invoices that have failed to import correctly.

5. Check draft invoices for accurate coding before approval.

6. Reconcile supplier end-of-month statements against the accounting ledger.

7. Liaise with the Finance Manager regarding supplier payments.

8. Keep on top of outstanding queries and failed system transfers, maintain accurate documentation, and escalate recurring issues.

Software & Systems Experience Required

Candidates should have practical experience with, or be able to quickly learn, the following systems:

• Microsoft Outlook & Excel — Email management and spreadsheet-based data handling.
• FileBound — Workflow automation software used to process incoming invoices.
• Procore — Construction management platform used for Purchase Order matching.
• Xero — Accounting software used for invoice approval and reconciliation.
