Accounts Payable Specialist

Job Summary:

The Accounts Payable Specialist is responsible for processing and managing vendor invoices, ensuring timely and accurate payments, maintaining financial records, and supporting the company's accounting operations. This role helps ensure compliance with company policies while maintaining positive relationships with vendors and internal stakeholders.

Job Details:

• Review, verify, and process vendor invoices for accuracy and proper approval.
• Match invoices with purchase orders, receipts, and supporting documentation.
• Prepare and process payments via checks, electronic funds transfers (EFT), ACH, wire transfers, or other approved payment methods.
• Reconcile vendor statements and resolve invoice discrepancies in a timely manner.
• Maintain accurate accounts payable records and vendor files.
• Monitor payment schedules and ensure timely settlement of obligations.
• Respond to vendor inquiries regarding invoices, payments, and account balances.
• Assist in month-end and year-end closing activities, including accruals and account reconciliations.
• Prepare accounts payable reports and supporting schedules as required.
• Ensure compliance with company policies, accounting standards, and internal controls.
• Assist with audits by providing requested documentation and supporting records.
• Coordinate with purchasing, receiving, and other departments to resolve invoice and payment issues.

Job Qualifications:

• Bachelor's Degree in Accounting, Finance, Business Administration, or a related field is preferred.
• Proven experience in accounts payable, accounting, bookkeeping, or a similar finance role.
• Fresh graduates are also welcome to apply!
• Strong understanding of accounts payable processes and accounting principles.
• Proven experience and proficiency in Microsoft Excel and Xero Accounting Software.
• Proven experience in handling high-volume invoice processing is preferred.
• Knowledge of expense management and vendor payment procedures is preferred.
• Experience with working in a multi-entity or shared-services environment is advantageous but not required.
• Excellent attention to detail and organizational skills.
• Strong communication and interpersonal skills.
• Ability to prioritize tasks and meet deadlines in a fast-paced environment.
• High level of accuracy and confidentiality.

Work Schedule:

• Monday-Friday

Work Shift:

• 5:00 AM - 2:00 PM NZST or 6:00 AM - 3:00 PM DST
