Accounts Payable Specialist

What You'll Do

• Process high-volume vendor and subcontractor invoices accurately and on schedule, matching to purchase orders, material receipts, and subcontract agreements
• Code invoices to the correct job/cost code to support accurate job costing and project profitability reporting
• Manage subcontractor compliance documentation, including lien waivers, certificates of insurance, and W-9s, ensuring nothing is paid out of compliance
• Process weekly/biweekly payment runs (checks, ACH, wire) and maintain accurate AP aging
• Reconcile vendor statements, research and resolve invoice discrepancies, and respond to vendor inquiries professionally and promptly
• Support month-end close by reconciling AP sub-ledger to the general ledger and assisting with accruals
• Maintain organized, audit-ready AP files and documentation in accordance with company policy
• Partner with project managers and superintendents to resolve coding questions, change orders, and invoice disputes tied to active roofing projects
• Assist with 1099 preparation and year-end vendor reporting
• Identify opportunities to improve AP processes and reduce manual work as the company scales

What You'll Bring

• 2+ years of accounts payable experience, ideally in construction, roofing, trade contracting, or another project-based/job-costed industry
• Experience with job costing and working against purchase orders/subcontracts in a construction environment
• Familiarity with lien waivers, certificates of insurance, and subcontractor compliance documentation
• Proficiency with accounting/ERP software (e.g., Sage, Viewpoint, Procore, QuickBooks, or similar construction-focused platforms)
• Strong attention to detail and accuracy, especially with high invoice volume
• Solid Excel skills (VLOOKUPs, pivot tables a plus)
• Clear communicator who can work cross-functionally with field and project teams, not just sit in a back-office function
