Accounts Payable Specialist (Remote)

About the role

We are seeking a detail-oriented and reliable Accounts Payable Specialist with 3 to 5 years of core AP experience to join our growing accounting team. This role is pivotal in supporting the accounting department, streamlining vendor workflows, and ensuring accurate, high-volume invoice processing. You will manage a portfolio of approximately 3,000 active vendors using Ramp software to oversee processing, automation auditing, and data maintenance.

Key responsibilities

• Maintain and update comprehensive profiles and payment details for 3,000 active vendors, ensuring all information remains accurate and current
• Oversee Ramp's automated routing logic to verify that invoices are correctly routed to the appropriate cost centers and categories
• Review, manually code, and process invoices that fall outside automated logic, ensuring proper GL alignment before approval
• Monitor and manage the primary AP email inbox, prioritizing incoming inquiries, categorizing invoices, and keeping daily/weekly tasks highly organized
• Assist the accounting team during critical month-end close cycles, working with the necessary urgency to log expenses and clear pending invoices
• Collaborate closely with the Staff Accountant and Controller on ad-hoc accounting tasks, process improvements, and special projects to increase overall departmental efficiency
• Create and maintain standard operating procedures (SOPs) and documentation for core AP workflows
• Regularly communicate task progress to leadership and proactively escalate invoice mismatches, system delays, or vendor issues

About you

• 3 to 5 years of dedicated Accounts Payable experience
• Hands-on experience with Ramp spend management platform is strongly preferred
• Proficiency with modern ERPs and accounting tools is required
• Proven ability to follow robust, multi-step accounting processes with high accuracy and low error rates
• Strong understanding of general ledger coding, cost-center allocation, and month-end closing procedures
• Exceptional time management skills; able to handle high volume (3,000+ vendor scope) while adhering to tight deadlines
• Excellent written and verbal communication skills for building vendor relationships and collaborating with internal clinic managers
