What they need
Job Overview
The Accounts Payable Supervisor leads the day-to-day Accounts Payable function, ensuring supplier invoices, employee expenses and payments are processed accurately, on time and with strong financial controls. Acting as the senior point of expertise and escalation for AP, the role sets standards, oversees and supports the AP team, maintains strong supplier relationships, and drives process improvement to support efficient financial operations across a fast-growing, multi-currency business. The role owns the day-to-day running of AP; it sits within the wider Transactional Finance function, which also covers Accounts Receivable, under the Transactional Finance Lead.
Responsibilities
- Lead the day-to-day Accounts Payable function, setting standards and acting as the first point of escalation for AP queries and issues.
- Oversee and support the Accounts Payable Executive(s) day-to-day — allocating workload, coaching on technical queries and ensuring consistent cover — with formal line management (1:1s, appraisals, objectives and performance issues) remaining with the Transactional Finance Lead.
- Oversee the end-to-end processing of supplier invoices and employee expenses, ensuring correct tax treatment and accurate coding to the correct nominal ledger account and cost centre.
- Manage and review regular payment runs for supplier invoices and expenses, across multiple currencies, within delegated authority, liaising with Treasury and FX providers as required.
- Oversee the onboarding of new suppliers, ensuring the set-up process and all required verification checks are followed correctly in line with company policy.
- Maintain and resolve complex or escalated supplier statement reconciliations on a weekly or monthly basis, ensuring records remain accurate and aligned with suppliers.
- Act as the key contact for supplier escalations, building strong and collaborative supplier relationships.
- Act as the escalation point where invoice approvals stall or are disputed, working with budget holders to resolve promptly.
- Identify, design and implement process improvements and automation across AP, ensuring robust financial controls and clear documentation.
- Support the month-end close for AP and provide accurate, timely information and reporting to the line Manager.
- Validate invoices for designated ancillary suppliers, checking invoiced fees and volumes against underlying booking and transaction data, and ensuring any discrepancies are investigated and resolved before payment.
- Keep the aged creditors report under control, working with the Treasury team to support clear bank reconciliations at month-end, and ensure other month-end reporting is completed and reviewed ahead of month-end.
- Support the onboarding, training and development of AP team members.
- Provide cover and deputise on AP matters in the Manager’s absence where required.
- Act as a hands-on team player, getting involved in and providing cover for the Accounts Payable Executive’s daily tasks where needed.
- Maintain accurate documentation and audit trails to support internal controls and external audits.
- Keep AP task documentation and process notes up to date, ensuring they are regularly reviewed and updated as processes change.
Essential Skills
- Extensive, confident experience in end-to-end accounts payable processes.
- Experience coordinating workload or overseeing and reviewing the work of others within an AP function.
- Proficient in Microsoft Excel, including VLOOKUPs, SUMIFs, and pivot tables.
- Strong communication and stakeholder-management skills, with the ability to resolve escalations and liaise with internal and external stakeholders.
- High level of accuracy with strong attention to detail, and the ability to prioritise their own and others’ workload to deadlines.
Desirable Skills
- Experience working in a multi-currency environment.
- Experience using Access Financials and/or Payhawk.
- Work experience in the travel and/or e-commerce industry.
- Experience of managing, mentoring or developing team members.
- Experience identifying and implementing process improvements and/or AP automation.
