Accounts Receivable Analyst

Job Summary

The Accounts Receivable Analyst is primarily responsible for accurately and promptly applying customer payments, managing the collections process to reduce past-due balances, and supporting month-end close activities related to accounts receivable. This role combines hands-on cash operations with proactive customer outreach, partnering closely with Accounting, Billing, and Operations to keep receivables current and customer accounts accurate. The ideal candidate is detail-oriented, comfortable working with high transaction volumes, and able to resolve payment discrepancies professionally while identifying opportunities to improve processes.

Job Duties & Responsibilities

Cash Application

· Apply daily customer payments (ACH, wire, check) to the correct invoices accurately and on a same-day basis

· Match remittance details to open invoices and research unidentified, short, or unapplied payments

· Reconcile daily cash receipts to bank deposits and resolve discrepancies promptly

· Process customer refunds, credit memos, and payment adjustments with appropriate approvals and documentation

· Maintain accurate customer account and remittance data in the ERP/AR system to prevent downstream errors

Collections

· Manage ~30 customer accounts, monitoring accounts receivable aging and prioritizing past-due balances

· Conduct proactive collection outreach by phone and email, including payment reminders and aging summaries

· Investigate and resolve invoice disputes and short payments in partnership with Billing and Operations

· Maintain detailed notes of all collection activity and customer payment commitments

· Prepare weekly AR aging, DSO, and cash collections reports for Finance leadership

Process Improvement & Systems

· Identify and implement improvements to cash application and collections workflows to increase efficiency and reduce errors

· Document cash application and collections procedures and maintain standard operating procedures (SOPs)

· Cross training on billing procedures and serving as a back up from time to time
