About the role

We are seeking a dedicated and organised Admin Clerk to join the team at TINY BUTTON DESIGN FASHION SDN. BHD. This is a full-time position based in Central Seberang Perai, Penang. As Admin Clerk, you will play a vital role in supporting our administrative operations, ensuring smooth day-to-day functioning of the office and contributing to the efficiency of our fashion design business. This position is essential to maintaining organised systems and supporting various departments across the organisation.

Key responsibilities

• Managing and maintaining filing systems, both physical and digital, ensuring all documents are properly organised and easily retrievable
• Handling incoming and outgoing correspondence, including emails, letters and packages
• Providing general administrative support to various departments within the organisation
• Scheduling meetings, managing calendars and coordinating office activities
• Preparing and processing administrative documents, including forms, reports and spreadsheets
• Assisting with data entry tasks and maintaining accurate records in company databases
• Managing office supplies and inventory, placing orders as required
• Supporting the coordination of events, meetings and company functions
• Answering phones and directing calls to appropriate personnel
• Performing general clerical duties including copying, scanning and filing
• Assisting with administrative projects as assigned by management

What we're looking for

• High school diploma or equivalent qualification; further administrative training or certification is advantageous
• Proven experience in an administrative or clerical role within a professional environment
• Strong organisational and time-management skills with the ability to manage multiple tasks simultaneously
• Proficiency in Microsoft Office applications, particularly Word, Excel and Outlook
• Excellent written and verbal communication skills in English; Malay language skills are beneficial
• Attention to detail and accuracy in all administrative tasks
• Reliable, punctual and professional approach to work
• Ability to work independently whilst being a supportive team member
• Strong customer service orientation when dealing with internal and external stakeholders
• Experience in the fashion or design industry is preferred but not essential
