Admin Executive

About the role

Community Management Executive responsible for managing administrative, community engagement, finance, legal, and maintenance functions within a residential property management setting.

Key responsibilities

• Ensure owner records and supporting documents are complete and updated in PMS
• Follow up on incomplete owner records, Residency Forms and Membership Forms
• Ensure tenant registration form and tenancy agreement are complete and update tenant records in PMS
• Maintain accurate unit occupancy status and identify vacant, owner-occupied and tenanted units
• Track change of ownership cases from initiation to completion
• Attend to walk-in residents and phone calls, respond to email queries and iNeighbour feedback
• Respond to residents within the required timeline and organise emails and documents according to SOP
• Process on-site collections, POP and OR issuance and prepare ad-hoc invoices
• Maintain and update defaulter status in the tracker and follow up with defaulters on outstanding payments
• Create and update tasks in IP Solutions, monitor assigned and recurring tasks, and ensure tasks are completed within agreed timelines

About you

• Understand and comply with existing DMC and ROS Constitution Association
• Ability to handle resident matters in accordance with the Constitution
