Admin Executive

About the role

This is a hands-on role at the centre of day-to-day operations. You will keep the office running smoothly — handling enquiries, documentation, records, and coordination between clients, suppliers, and technical team. You will work closely with the company director and gain broad exposure to how a fenestration business runs from enquiry through to project completion.

Key responsibilities

• Manage incoming enquiries across WhatsApp, email, and phone — record, categorise, and route them promptly so nothing is missed

• Prepare and issue quotations, invoices, delivery orders, and purchase orders; maintain accurate filing of all project documents

• Assist with HDB permit applications and other regulatory submissions on behalf of clients

• Maintain trackers for quotations, orders, and project status; follow up on outstanding items and payments

• Build product knowledge across aluminium windows, doors, and louvre systems so you can support clients and colleagues confidently

• Help improve admin processes and filing systems as the business grows

About you

• Minimum O-Level; Nitec, Diploma, or Degree holders are equally welcome
• Prior administrative experience is an advantage; fresh graduates with the right attitude will be considered
• Proficient in Mandarin (spoken and written) — required to liaise with Mandarin-speaking suppliers, subcontractors, and clients
• Good written and spoken English for client correspondence and regulatory submissions
• Comfortable with Microsoft Office / Google Workspace; quick to pick up new systems
• Numerically competent and detail-oriented — accuracy in documents and pricing is non-negotiable
• Organised, self-driven, and able to juggle multiple tasks without dropping the ball
• Experience in construction, fenestration, or building materials is a plus but not required
