Admin Executive

Job scope

• Process customer orders and prepare Quotation / Purchase Order / Delivery Order (DO) / Invoice.
• Update order status, follow up outstanding items and ensure documentation is complete and accurate.
• Maintain proper filing (hardcopy/softcopy) and document control.
• Coordinate delivery schedules with internal team (store/stock & dispatch).
• Prepare delivery paperwork and ensure smooth handover for delivery/collection.
• Track deliveries and support follow-ups when required.
• Handle customer enquiries (order status, product availability, delivery arrangement).
• Liaise with suppliers on ordering, delivery ETA, and documentation.
• Support basic after-sales admin such as returns, damaged items, and warranty documentation (if applicable).
• Update records in system/Excel (customer master list, order log, delivery log, simple reports).
• Prepare basic weekly/monthly reports (e.g., order summary, delivery schedule, pending items).
• Support general office admin (stationery, filing, coordination tasks) as assigned.

Requirement:

• Have experience in admin or related field
• Good communication skills to handle customer enquiries and liaise with suppliers.
• Organised, detail-oriented and able to multitask and follow up independently.
• Proficient in English and Bahasa Malaysia; Mandarin is an advantage.
