About the role

Site Administrator supports daily site operations by managing documentation, coordination, reporting, and administrative tasks. This role ensures smooth communication between site teams, contractors, suppliers, and the main office while maintaining accurate records and compliance with company procedures.

Key responsibilities

• Maintain and update all site documents, including reports, permits, drawings, attendance records, and correspondence
• Organize filing systems (physical and digital) to ensure easy retrieval and proper document control
• Prepare daily, weekly, and monthly site reports for submission to management
• Coordinate with project teams, contractors, suppliers, and head office on administrative and operational matters
• Handle incoming calls, emails, and site inquiries professionally
• Assist in scheduling meetings, site visits, and appointments
• Assist in preparing purchase requisitions and tracking delivery of site materials
• Monitor and update inventory records for office supplies, PPE, and basic site materials
• Manage site staff attendance, timesheets, and leave records
• Support onboarding of new site workers, including registration, induction, and documentation

About you

• Possess an SPM Level certificate
• Proficient in Microsoft software
• Working experience in a related field (advantageous)
• Familiarity with construction materials, equipment, subcontracted services, drawings, and project specifications (advantageous)
