Qualification Standard:

Education : Bachelor's degree relevant to the position

Experience : 1 year of related work experience

Training : 4 hours of relevant training

Required Knowledge and Skills:

• Business correspondence
• Computer applications such as MS Office (Word, Excel, Powerpoint)
• Excellent communication and interpersonal skills
• Can produce presentations and analyses
• Can handle, organize, and maintain confidential information and files

Duties and Responsibilities:

1. Maintains and records files of the office and controls use of filed materials and safeguards confidential files and information;
2. Receives phone calls, prepares daily schedule of the department, and takes down messages from different departments and stakeholders;
3. Attends to the visitors/calls of the department and refers them to the concerned office or department;
4. Reviews all incoming documents, including indorsements, certifications, and all other confidential data for the department;
5. Promptly monitors the calendar of activities and effectively arranges daily, weekly, and monthly meeting to ensure the smooth scheduling of activities;
6. Attends to the administrative and logistical requirements of the department;
7. Conducts review of the incoming documents for the signature and evaluation of the Vice President; and
8. Performs other related functions as may be assigned from time to time.
