What they need

Are you highly organised, confident on the phone and looking for a role where no two days are the same?

Castle Mountain Zeolites is a proudly family Australian-owned manufacturer and supplier of premium natural zeolite products servicing customers across agriculture, horticulture, environmental and industrial markets throughout Australia and overseas.

We are seeking an enthusiastic and motivated Administration & Operations Coordinator to support the day-to-day operations of our growing business.

This is far more than a traditional administration role. You will become an integral part of the business, gaining exposure to operations, customer service, logistics, accounts administration and business management. If you enjoy variety, taking ownership of your work and being part of a supportive team, we'd love to hear from you.

About the Role

You will be responsible for coordinating administrative functions, supporting customers and suppliers, assisting with accounts administration and helping management stay organised and informed.

One day you may be coordinating customer orders and freight dispatches, while the next you may be assisting with invoicing, following up outstanding accounts, preparing reports or helping to solve operational challenges.

Key Responsibilities

  • Provide administrative support.
  • Professionally manage incoming phone calls, emails and customer enquiries.
  • Gather and extract information from customers, suppliers and stakeholders to ensure jobs are completed accurately and efficiently.
  • Coordinate customer orders, freight bookings and product sample dispatches.
  • Prepare and maintain business records and documentation.
  • Process invoices and assist with debtor management and account follow-up.
  • Raise purchase orders and assist with supplier communications.
  • Prepare reports and maintain accurate data using Microsoft Office.
  • Support customer service activities and ensure a positive customer experience.
  • Assist with the implementation and improvement of business systems and processes.
  • Provide general support across all areas of the business as required.

About You

You are someone who:

  • Enjoys talking to people and building positive relationships.
  • Has a professional and confident phone manner.
  • Is comfortable asking questions and obtaining information from others.
  • Has exceptional attention to detail and takes pride in accurate work.
  • Can effectively manage multiple priorities and deadlines.
  • Takes initiative and enjoys finding solutions.
  • Is eager to learn and grow within a business.
  • Works well independently while also contributing to a team environment.

Skills & Experience

Essential:

  • Previous administration experience.
  • Strong computer literacy and proficiency in Microsoft Office.
  • Intermediate to advanced Excel skills.
  • Excellent verbal and written communication skills.
  • Strong organisational and time management abilities.

Highly Regarded:

  • Experience with invoicing, debtors and accounts administration.
  • Experience in customer service or client-facing roles.
  • Experience with inventory, logistics or operational administration.
  • Experience using business management, accounting or CRM systems.

What We Offer

  • A stable full-time position with a growing Australian business.
  • The opportunity to work closely with senior management and gain exposure to all aspects of business operations.
  • A varied and rewarding role where your contribution is valued.
  • Ongoing learning and professional development opportunities.
  • A supportive and collaborative team environment.
  • Career growth opportunities for the right person as the business continues to expand.

If you are a proactive, organised and customer-focused professional looking for a long-term career opportunity, we encourage you to apply.

To apply, please submit your resume and a brief cover letter outlining your experience and why you believe you would be a great fit for this role.
