Administration Engineering

About the role

This role involves managing operational scheduling, technical documentation, utility management, and periodic reporting for the Engineering team. You will coordinate maintenance timelines, staff scheduling, and team meetings while maintaining organized technical archives and monitoring utility consumption.

Key responsibilities

• Schedule, document, and monitor routine and preventive maintenance timelines for all MEP systems
• Arrange technical staff work shifts and track attendance records
• Coordinate Engineering team meetings, prepare agendas, and document meeting minutes
• Organize, store, and archive technical drawings (AutoCAD/PDF), manuals, SOPs, work orders, and technical reports in physical and digital formats
• Manage and distribute internal memos, incoming/outgoing correspondence, and supporting operational documents
• Record, compile, and document utility bills and consumption (electricity, water, gas/fuel) accurately and systematically
• Monitor daily and monthly utility usage anomalies through logbooks
• Prepare weekly and monthly reports on operations, work order progress, maintenance, and utility usage

About you

• Bachelor's degree in Engineering (Civil/Architecture) or related field
• Minimum 1 year of experience in Engineering Administration or Facility Management
• Proficient in MS Office (intermediate MS Excel for data processing and reporting, MS Word, PowerPoint)
• Proficient in AutoCAD and SketchUp
• Basic understanding of MEP terminology and Work Order processes is an advantage
• Detail-oriented with high attention to accuracy
• Strong teamwork and proactive communication skills
