What they need
Administration Manager
The Exterior Zone | Oxford, Michigan
Full-time, in person | $75,000–$90,000 annual base pay
We’re hiring an Administration Manager to work directly with our owner, handle our daily administrative responsibilities, and help develop this part of The Exterior Zone as we grow.
We’re a family-operated exterior renovation company. Our clients trust us with their homes. How we answer their first call, prepare for their appointment, and follow up on a question all matter. When we tell someone we’ll get back to them, we expect that to happen. Our advisors and field team depend on the office to keep information accurate and make sure the next person has what they need.
This role starts with doing the work, learning the business, and getting the daily details handled well. Your responsibility and authority will expand as you become established.
Where you’ll start
- Answering calls, guiding prospective clients through our intake process, and scheduling evaluations.
- Managing the office inbox, responding to routine questions, and following through on messages that need someone else’s input.
- Tracking appointments, callbacks, open questions, and commitments to clients.
- Helping our owner stay organized with scheduling, preparation, reminders, and follow-through.
- Maintaining accurate client records, documents, and company information.
- Collecting and checking expense records, receipts, and supporting documentation.
You’ll personally handle these responsibilities. That means being comfortable moving between a client conversation, a scheduling issue, and a record that needs a closer look.
What we’re looking for
You’ve been responsible for keeping an office, department, or substantial administrative workload running. You can explain what you handled yourself, how you kept track of it, and what you improved.
You communicate clearly, especially when someone is frustrated or information is incomplete. You check before guessing, document what matters, and keep people informed while you work toward an answer.
You’re comfortable working directly with an owner. If priorities conflict or a commitment is about to be missed, we need you to speak up and help work through it.
You can work confidently with email, spreadsheets, business software, and financial records. You don’t need to know every system we use, but you do need to be willing and able to learn.
Experience in construction, remodeling, or another service business is helpful. We also welcome relevant experience from other industries.
How the role can grow
As you learn the business and demonstrate sound judgment, your responsibilities may expand into payroll and HR administration, financial coordination, process improvement, staff training, delegation, and developing the administrative team. Marketing support, client appreciation, and company events may also become part of the role.
We’ll provide training in our procedures, services, products, and systems during scheduled work time. We expect you to learn how the work connects, ask useful questions, and contribute practical improvements.
Compensation and benefits
- $75,000–$90,000 annual base pay, based on relevant experience and demonstrated capability.
- 100% employer-paid employee-only health insurance premiums, with standard eligibility after 60 days, subject to plan terms.
- 401(k) employer match up to 4%, beginning after one year, subject to plan terms.
- 80 hours of combined PTO available at the start of employment, increasing with tenure to 120 hours annually under the company’s written policy.
- Paid holidays under the company holiday calendar.
- Department-performance bonus opportunities up to $1,000 per quarter, with eligibility beginning after 90 days.
- 2.5% commission on qualifying project revenue from approved phone sales and reactivated leads, with eligibility after six months. Qualifying sales must meet process and margin requirements, with payment at project completion under the written commission plan.
- Potential future phantom-equity participation after one year, subject to performance and a formal written plan. Participation is not guaranteed.
- Optional opportunities for additional compensation through approved client appreciation activities outside regular office hours.
