What they need

About the role

The Administration Manager is responsible for leading and standardizing the administrative operations of the Company's two manufacturing facilities located in Shah Alam, Selangor and Plentong, Johor. The role ensures that both factories have a well-organized, compliant, cost-effective and professionally managed administrative infrastructure that enables uninterrupted manufacturing operations. The position serves as the central administrative coordinator between the two factories and Corporate Management, ensuring consistency in administrative policies, documentation, facilities coordination, employee support services, vendor management, security, records management and statutory or local authority matters. The Administration Manager is expected to operate as a hands-on multi-site administrator and business partner, not merely as an office administrator.

Key responsibilities

  • Lead the overall administration operations of Shah Alam and Plentong factories and establish common administrative standards across both locations
  • Coordinate the administration of factory premises, office facilities, workplace conditions and employee amenities
  • Oversee administrative control of factory access, manage employee, visitor and contractor access procedures, and maintain records relating to keys, access cards and security passes
  • Maintain a master register of applicable administrative licenses and permits, monitor expiry and renewal dates, and coordinate documentation and renewal submissions
  • Coordinate administrative vendors and service providers, monitor vendor service quality and agreed service standards, and coordinate contract renewal processes
  • Prepare the annual administration budget for both factories, monitor monthly expenditure against approved budgets, and implement cost-control initiatives
  • Establish and maintain a structured administration filing system and ensure proper control of contracts, licenses, permits, vendor documents and administrative correspondence
  • Coordinate employee administrative support services, monitor staff facilities and amenities, and work closely with HR on employee welfare matters
  • Maintain administrative asset registers for both factories, conduct periodic physical verification, and record asset movements and transfers
  • Lead and supervise administrative personnel, establish clear job responsibilities, set individual and team KPIs, and conduct performance reviews

About you

  • Ability to lead the daily administrative operations of both factories and establish administrative procedures, workflows and service standards
  • Experience coordinating factory facilities administration including offices, meeting rooms, staff areas, pantries, toilets, changing rooms, lockers and common facilities
  • Experience with government and local authority liaison, maintaining licenses, permits and certificates, and coordinating official inspections and visits
  • Experience in security and emergency administration, including monitoring visitor and contractor access and supporting investigations into security incidents
  • Experience managing administrative service providers, monitoring vendor performance, and ensuring service delivery meets agreed standards
  • Experience preparing annual budgets, monitoring monthly expenditure, and implementing cost-control initiatives
  • Experience maintaining administration asset registers and conducting periodic asset verification
  • Ability to lead and supervise administrative personnel and establish a culture of accountability and service excellence
  • Ability to standardize administrative SOPs and forms across multiple locations and conduct cross-site administrative audits
  • Ability to prepare management reports, dashboards and KPIs covering administration, facilities, vendors, compliance and expenditure
