What they need

About us

Gambier Earth Movers Pty Ltd (GEM) is a progressive, well-established and accredited civil contracting company based in Mount Gambier, South Australia, and part of GEM Group Holdings Pty Ltd.

For more than 60 years, GEM has serviced southeast South Australia and southwest Victoria, specialising in bulk earthworks, civil construction, asphalt, bitumen spraying, road construction and quarrying.

We take pride in delivering quality services, dependable products and excellent outcomes for our clients.

About the role

We are seeking a professional, organised and approachable Administration Officer to join our Mount Gambier office.

You will provide a welcoming first point of contact for customers, suppliers, employees and visitors while supporting general office administration.

The role will also primarily assist our Accounts Payable function and provide backup support to Accounts Receivable. Finance responsibilities will be introduced progressively, with training, guidance and appropriate oversight as you develop your knowledge of ERP (currently CHEOPS) and GEM Group processes.

This is an excellent opportunity for someone with customer service experience and is willing to learn and develop within the role.

This position is preferably offered on a full-time basis; however, part-time arrangements may be considered for the right candidate.

Key responsibilities

  • Provide professional front reception and telephone support.
  • Welcome visitors and direct enquiries to the appropriate person.
  • Receive, sort and distribute mail and coordinate outgoing deliveries.
  • Prepare correspondence, reports, forms and other company documents.
  • Maintain accurate electronic and hard-copy filing and records.
  • Assist with office supplies, travel and accommodation arrangements.
  • Maintain company registers and follow up required documentation.
  • Process supplier invoices accurately and in accordance with company procedure.
  • Review and reconciliation of supplier statements.
  • Assist with new supplier applications, records and account details.
  • Respond to routine supplier and customer account enquiries.
  • Provide backup administrative support across Accounts Payable and Accounts Receivable.
  • Assist the Finance, Human Resources, Safety and management teams as required.

As your knowledge and capability develop, you may also assist with payment processing, banking, reconciliations and audit preparation.

About you

To be successful in this role, you will ideally have:

  • A professional, friendly and service-focused approach.
  • Clear written and verbal communication skills.
  • Strong attention to detail and a commitment to accurate data entry and recordkeeping.
  • Good organisational and time-management skills.
  • The ability to manage interruptions and changing priorities.
  • Discretion and professionalism when handling confidential or sensitive information.
  • Basic to intermediate Microsoft Word, Excel and Outlook skills.
  • The ability and willingness to learn CHEOPS and other company systems.
  • The ability to follow established processes, seek clarification when required and work effectively within a team.
  • A current driver’s licence.

Previous reception, administration, accounts or customer service experience is desirable but not essential.

What we offer

  • A varied role across reception, administration and finance support.
  • Training and the opportunity to progressively develop your accounts experience.
  • A supportive and collaborative team environment.
  • The opportunity to join a long-standing and respected local company.
  • A stable role with scope to build your skills and take on greater responsibility over time.

How to apply

If you are organised, reliable and enjoy providing professional service while learning new systems and processes, we would like to hear from you.

Apply through SEEK with your resume and a brief cover letter outlining your relevant experience and interest in the role.

Alternatively, applications may be submitted in person with a resume at our office at 29 Avey Road, Mount Gambier, or by email to [email protected].
