Introduction

We are six Church of England parishes in Toxteth & Wavertree Deanery working towards becoming one larger single parish, with more effective administration and support structures to support local churches, enabling them to focus on local ministry and mission.

We are currently working towards this structural change and plan to bring the parishes together in the months ahead. Once the churches come together as a new parish, we will be known as the Hope Parish Liverpool (HPL).

This is an exciting and challenging role for an experienced administrator, who is open to seeing how their skills can strengthen the church. For some applicants, this will involve training for this context and in software packages designed for church and charity.

Job Summary

The Administration Officer is a new role within the larger single parish of Hope Parish Liverpool, which will transition in January 2027, and as such may be subject to change as new initiatives emerge and develop over time.

The role of the Support Services Team (SST) is to act as the administrative hub of HPL. As the Administration Officer, you will relieve the administrative burden currently shouldered by individual parishes, enable role-specific tasks to be completed more efficiently and so free lay people and clergy up for mission and ministry.

We are seeking a dedicated and organised Administration Officer to join our Support Services Team (SST). Working closely with the other members of the SST and HPL, particularly the Parish Wardens in relation to buildings matters, you will play a pivotal role in overseeing the day-to-day management of the parish administration.

You will be expected to provide operational excellence in line with best practices and agreed protocols, ensuring seamless administrative support and promoting a positive work culture that encourages growth and development.

Main Responsibilities:

  • Efficient administration and record-keeping
  • Coordination support across Support Services and Hope Parish Liverpool as a whole
  • Accurate documentation and deadline management
  • Manage correspondence, records, and meetings
  • Maintain compliance documentation, including Safeguarding and DBS records in cooperation with the PCC Safeguarding Lead
  • Support buildings compliance for the parish, including maintaining the diary for checks, e.g., Quinquennial reports, fire safety reports, etc
  • Church Electoral Role Management (annual)
  • Booking Centre for Occasional Offices (baptisms, weddings, funerals) in co-operation with local clergy or other ministers
  • Support grant administration, including: collating supporting documents, tracking deadlines and submissions, and maintaining grant files and records
  • Support communications across the Parish (a critical function), including oversight of website, social media, and internal communications
  • Be available to attend meetings, take notes and circulate minutes
  • Provide general admin support

General Responsibilities

  • Take responsibility for your own health and safety
  • Comply with Diocesan safeguarding policy
  • Undertake any safeguarding training as required
  • Comply with UK data protection laws
  • Lead on all legislative compliance requirements including charity law

Who we are looking for:

We are looking for somebody who will bring the relevant skills, experience and confidence to shape and fulfill the responsibilities of the role. It is essential that the person is sympathetic to the Christian faith and able to support the ministry and mission of the parish.

We need someone who thrives when working in a team, who is a self-starter and able to prioritise and manage their own workload. You will work alongside local church leaders, Fit for Mission Diocesan team and others in Support Services.

In terms of personal qualities you will be someone who:

  • can maintain confidentiality
  • is able to work autonomously and within a team
  • can be pragmatic and enjoys finding practical solutions
  • has excellent communication skills
  • will deliver on expected outcomes
  • has excellent time management skills

If this sounds like you, we encourage you to apply for this exciting new opportunity, to shape and strengthen our parish, and developing excellence and contributing to our overall success.
