What they need

Administration Officer (Finance) – HIA Properties

About us
HIA Properties is a Toowoomba property development company delivering mixed-use and commercial projects across South East Queensland. We look after every stage of the development cycle, from site acquisition and planning through to construction and settlement. Our focus is on well-designed, high-quality projects that create lasting value for our buyers, investors and communities.

About the role
Our project pipeline continues to grow, so we're looking for an organised, proactive Administration Officer to join our close-knit team. This is a varied role combining general office administration with day-to-day finance tasks. It suits someone who enjoys variety and wants exposure to the property development industry.

Key responsibilities include:

Administration

  • Managing general office administration, including phones, emails, mail and office supplies.
  • Maintaining filing systems, project records and document management.
  • Preparing correspondence, reports and presentations.
  • Coordinating meetings, diaries and travel arrangements.
  • Supporting the project team with contracts, sales and settlement documentation.
  • Keeping databases and registers up to date, such as contractor and consultant records and insurances.

Finance

  • Processing supplier, contractor and consultant invoices, and preparing payment runs.
  • Issuing invoices and following up on outstanding payments.
  • Reconciling credit card and expense claims.
  • Assisting with bank reconciliations and data entry.
  • Supporting payroll processing and month-end tasks.
  • Other administration and finance tasks as required.

To be successful in this role you will have:

  • Previous experience in an administration, office or accounts role. Experience in property, construction or development is highly regarded.
  • Exposure to accounts payable, accounts receivable or bookkeeping tasks.
  • Strong attention to detail and good organisational skills.
  • The ability to work autonomously and manage competing priorities and deadlines.
  • Proficiency in Microsoft Office, including Excel at a basic to intermediate level.
  • Experience with accounting software such as Xero (highly regarded).
  • Excellent written and verbal communication skills, with a professional, friendly manner.
