What they need
Administration Officer – Sleep Life Australia, Albany
Our Albany team is a good one. They're organised, professional and genuinely kind, both to patients and to each other. They communicate openly, they look out for each other, and they take real pride in the service they give. We're careful about who we add, because that team is the thing we're least willing to compromise on.
This is an administration role first. You'll run the work behind the clinic: referrals, records, billing and supplier coordination. You'll also share the front desk with the team on rotation. If you've been looking for a step up from reception-only work, this is that step.
We'll train you properly and walk you through our processes, so you won't be thrown in. What we need from you is that you pick things up quickly and then take them over.
What you'll actually do:
Administration (the bulk of the role)
- Process GP referrals end to end, from arrival through to booking and follow-up
- Maintain patient records and keep electronic files accurate and current
- Process payments and reconcile daily takings (MYOB an advantage)
- Order and track CPAP equipment and consumables, and coordinate with suppliers
- Move data accurately between several systems that don't talk to each other
- Support the clinic manager and sleep technicians with reporting, scheduling and clinic administration
Reception (on rotation with the team)
- Welcome patients and create a calm, professional first impression
- Manage appointments and clinic workflow in our practice software (CorePlus experience is a bonus, any medical software helps)
- Answer calls, assist patients, and support reception colleagues at our other clinics
What we need you to have already done
- 3+ years in an administration role where you owned processes rather than just completed tasks
- Worked across multiple computer systems at once, with a track record of getting the details right
- Used practice management and accounting software. Medical background is desirable, not essential — we'll teach you sleep health
- Confident with Microsoft and Google Workspace, and quick to pick up new systems
- Clear, professional written and spoken English
- Permanent working rights in Australia
How we work — read this part:
Our Albany team is supportive, organised and genuinely kind. They communicate openly, look out for each other and take pride in the service they give patients. To keep that, we hold a high standard on three things:
Accuracy. A wrong referral or a misfiled record has real consequences for a patient waiting on a diagnosis. We'd rather you were careful than fast.
Ownership. You'll be trusted to run your own responsibilities. Nobody will chase you for them.
Kindness. Professionalism and warmth aren't opposites here. Both are expected.
What you'll like about it
- A team that's worth joining. People here look out for each other, and we protect that carefully when we hire.
- Work that matters. Sleep disorders wreck people's health and their families' lives. Every patient you help is a person getting their life back.
- Room to grow. We're expanding and improving systems as we go. You'll learn, and you'll have a say in how things are done.
Who won't enjoy this role
We'd rather be upfront. You'll struggle here if:
- You want a quiet or repetitive job, because we stay busy
- You need constant direction, because we trust you to own your work
- You don't like change, because we refine our systems whenever we find a better way to do something
How to apply
A personalised cover letter is essential. Please cover two things:
- One process or system you built, fixed or tidied up in a previous role. What it looked like before, what you changed, and what it looked like after.
- The value that matters most to you, and why.
Shortlisted candidates will be asked to complete a short practical task at interview, around 20 minutes of real referral processing and data entry. We do this because accuracy genuinely matters in this role, and it's the fairest way for us to see it and for you to show it.
Please submit your resume via SEEK.
Applications close 25th September 2026 but we’ll begin interviewing as strong candidates apply. If this sounds like you, don’t wait.
Other offers great for you!
