What they need

Administrative & Operations Assistant

Day-to-day administrative, computer and local operations support

Location: Thunder Bay, Ontario

Pay: $20 per hour

Schedule: Full-time, approximately 40 hours per week

Required: Valid driver's licence, reliable insured vehicle, computer and smartphone. A pickup truck is not required.

What the job involves

Data Pharms Inc., operating under HomeShare, is hiring a dependable and organized person to assist the company owner and project manager with day-to-day administrative work, computer-based tasks, follow-ups and practical local errands.

This is primarily an administrative and operations-support position. Most tasks involve keeping information organized, communicating clearly, updating records, researching or following up on open items, and helping daily priorities move forward. At times, you may also pick up or deliver a few small supplies, documents or keys to renovation workers or properties in Thunder Bay.

This is not a construction, skilled-trades or heavy-hauling position. You do not need a truck, towing experience or trade qualifications. A dependable car or SUV is sufficient.

Responsibilities

  • Assist the owner and project manager with daily priorities, delegated tasks, scheduling, research and follow-up.
  • Draft and organize emails, documents, checklists, calendars, receipts, orders and basic spreadsheets.
  • Enter and update accurate information in shared records and custom software.
  • Keep track of open tasks, the next action, responsible person and due date.
  • Follow up on orders, appointments, deliveries and assigned administrative items.
  • Communicate clearly with the owner, project manager, workers and approved contacts by email, text and in person.
  • Take and share useful photos or short videos when documenting a delivery, property item or completed task.
  • Pick up and deliver small supplies, documents, keys or equipment within Thunder Bay when needed.
  • Help organize property or project information and complete other reasonable administrative or practical tasks as priorities change.
  • Protect confidential information and ask before acting when instructions, costs, safety or approvals are unclear.

What you must bring

  • A valid driver's licence and dependable access to a reliable, insured vehicle. A truck is not required.
  • Your own computer and smartphone.
  • Strong everyday computer skills, including email, calendars, online accounts, Google Docs or similar documents, spreadsheets, file organization, photos and messaging.
  • Clear written and verbal communication.
  • Strong organization, reliability and follow-through.
  • The ability to learn unfamiliar software and follow a structured process.
  • Good judgment: research what you can, ask clear questions, provide updates and recognize when approval is needed.
  • Comfort completing local errands and carrying a few small supplies when required.

Who may be a good fit

Experience in administration, customer service, scheduling, logistics, hospitality, human resources, property support or another coordination role is useful, but no single background is required. Education is not our main focus. We care more about whether you are organized, comfortable with technology, communicate well and reliably take an assignment through to completion.

Work arrangement

We are seeking one person for a long-term, full-time position. Performance and mutual fit will be reviewed during the first 3–6 months.

The role combines computer-based work, local driving and occasional visits to properties or project locations. Some administrative work may be completed from home when approved and when the schedule allows, but this is not a fully remote position.

Approved business travel during the workday will be handled under the company's travel and expense policy. Normal commuting is not reimbursed.

To apply

Apply through Indeed with your résumé and complete all screening questions. Please include your full-time availability, earliest start date, confirmation that you have a reliable insured vehicle, and a brief example of how you have kept several tasks or follow-ups organized.

Pay: From $20.00 per hour
