About the hiring company A robotics start-up operating in an international environment, inspired by an American culture focused on autonomy, accountability, and operational efficiency. Structuring administrative functions (Finance, HR), office management, and supply chain is a strategic priority to support the company's growth.

Key points of the role This is a versatile, cross-functional position combining administrative assistance, office management, operational coordination, and supply chain support. You will occupy a central role between internal teams, management, and external partners. We are primarily looking for a dynamic, proactive, and ambitious individual.

Main responsibilities

Office Management:

  • Serve as the main point of contact for external service providers
  • Organize onboarding for new employees
  • Contribute to employee experience and internal organization

Administrative & Organizational Management:

  • Manage day-to-day administrative tasks (documents, files, internal organization)
  • Organize calendars, meetings, and travel arrangements
  • Monitor contracts, quotes, and supplier/client documentation

Supply Chain & Operations Support:

  • Track orders, procurement, and deliveries
  • Coordinate communication with suppliers, carriers, and service providers
  • Monitor stock levels, deadlines, and report discrepancies
  • Maintain tracking sheets and operational KPIs

Team & Management Support:

  • Facilitate coordination between administrative and operational teams
  • Participate in structuring and improving internal processes
  • Proactively suggest improvements in a constantly evolving environment

Financial & HR Support:

  • Assist in tracking billing and payments related to operations
  • Support HR administration (onboarding, administrative follow-up)

Required skills

  • Excellent organizational and prioritization skills
  • Interest or experience in supply chain, logistics, order management (ADV), or office management
  • Versatility, autonomy, and initiative
  • Comfortable with digital tools and tracking spreadsheets
  • Strong interpersonal skills and service orientation
  • Fluent English (written and spoken)

Nice-to-have

  • Previous experience in a start-up or international environment
  • Experience with ERP, CRM, or supply chain tools
  • Passion for robotics
  • Continuous improvement mindset and operational awareness

Education & background Training in administration, management, supply chain, logistics, or equivalent. Mindset, motivation, and potential are prioritized over diploma or experience.
