This is a permanent Part-Time role working closely with the Director in a fast-paced yet well-structured environment. You’ll play a key role in keeping the business running smoothly by managing administration, communication, scheduling, and coordination across staff, contractors, and consultants.
While the role can be busy, it is not chaotic. It suits someone calm, organised, and proactive who enjoys working with people, systems, and logistics.
The Role
Reporting directly to the Director, you will be responsible for the day-to-day administration and coordination of the business, ensuring nothing falls through the cracks. Your support will allow the Director and team to focus on delivering exceptional outcomes for clients.
Key responsibilities include (but are not limited to):
- Managing the Director’s calendar, appointments, and priorities
- Handling phone calls and email correspondence professionally
- Acting as a key point of contact for staff, suppliers, contractors, and clients
- Drafting invoices and managing approvals
- Data entry, filing, and record keeping
- Payroll and general accounting using Xero
- Insurance management for business operations and fleet
- Job scheduling, coordination, and internal communication
- Preparing documents, proposals, and general administration
- Office coordination (stationery, printers, kitchen supplies, basic IT troubleshooting)
- Supporting social media presence
- Coordinating meetings, logistics, and deadlines
- Providing ad-hoc support to the Director as required
About You
To succeed in this role, you will be organised, reliable, and confident working independently. You’ll be comfortable guiding others to meet deadlines and able to communicate effectively at all levels.
You will have:
- Relevant administrative experience in a similar role
- Strong written and verbal communication skills
- High attention to detail and pride in your work
- Excellent time management and multitasking abilities
- Confidence working independently and making informed decisions when required
- A positive, energetic, and professional attitude
- Ability to manage administration across multiple projects simultaneously
Required Experience & Skills
- Proficiency in Xero, Outlook, and Microsoft 365 (essential)
- Experience with Aroflo and Groundplan (advantageous)
- Minimum 3 years’ experience in a similar administrative role (references required)
- Previous experience as an Administrator, Personal Assistant, or similar role
- Strong follow-up, coordination, and problem-solving skills
- Strong capability to work autonomously
Benefits & Culture
- Permanent part-time position
- Long-term, secure employment
- Excellent work/life balance
- Modern, dynamic, and supportive company culture
An immediate start is available for the right candidate.
