Administrative Assistant

About Grand Mesa Counseling

Working at Grand Mesa Counseling means being part of a team committed to improving access to quality mental health care in our community. As an Administrative Assistant, you would be part of this meaningful mission through being the first point of contact for many of our clients seeking care. Just as importantly, we believe that caring for our community starts with caring for one another. We're working to build a collaborative environment where our team members feel supported, valued, and encouraged to grow. We want to build a place where people look forward to working with the people next to them. If this sounds like something you’d like to be a part of, we encourage you to read on and send us an application.

Grand Mesa Counseling is a group therapy practice serving children, teens, and adults. Our approach is rooted in the belief that people make sense in the context of their experiences, relationships, and environments. We are looking for administrative assistance who shares this belief and can meet people where they are at.

We're looking for a warm, organized, and dependable Administrative Assistant to help keep our practice running smoothly. This person will often be one of the first points of contact for clients and will play an important role in helping them feel comfortable and supported from the start.

Our ideal candidate is someone who enjoys connecting with people, pays attention to the little details, and can balance multiple responsibilities without losing sight of the people behind them. We value someone who takes initiative, communicates thoughtfully, and is willing to learn and grow alongside our team. Whether helping a client get scheduled, supporting our therapists, or keeping the office organized, we're looking for someone who takes pride in making things a little easier for everyone.

Position Details & Compensation

  • Pay: $20-$25 per hour (W-2 employee)
  • Hours: 16 hours per week, with the potential for additional hours as the practice grows.
  • Schedule: 9AM-1PM with some room for flexing.
  • Location: In-person at Grand Mesa Counseling in Grand Junction, Colorado.
  • Paid Sick Leave: Accrued in accordance with Colorado law.

Grand Mesa Counseling is an equal opportunity employer. We welcome applicants from all backgrounds and are committed to fair, inclusive hiring practices.

Background Screening: This position involves working in an environment serving children and vulnerable individuals. A background check may be conducted following a conditional offer of employment, in accordance with applicable law.

What You'll Do:

Client Communication & Support

As one of the first points of contact for our practice, you'll help clients feel welcomed, informed, and supported as they navigate getting started with therapy and managing their appointments.

  • Communicate with clients by phone and email with warmth, patience, and professionalism.
  • Help clients schedule appointments, complete intake paperwork, and navigate basic questions about our services.
  • Assist therapists with scheduling, client payments, and other administrative needs.
  • Learn and follow established administrative procedures for processing payments, managing client paperwork, and assisting with basic insurance-related questions and tasks.
  • Maintain accurate client records, follow up on outstanding paperwork and payments, and handle sensitive information with care and confidentiality.

Office Organization & Team Support

You'll help create an environment where both clients and therapists can focus on what matters most. We're looking for someone who is dependable, follows through on responsibilities, and communicates openly when something isn't working. We value people who ask thoughtful questions, share ideas, and enjoy finding solutions together.

  • Manage incoming calls, messages, and day-to-day administrative requests.
  • Help maintain organized scheduling systems, records, and office workflows.
  • Support onboarding and orientation for new team members.
  • Troubleshoot everyday office challenges and communicate needs or concerns as they arise.
  • Share observations and ideas for improving office processes, working collaboratively with practice leadership to make changes.

Practice Reports & Improvement

As our practice grows, we're working to better understand what's going well and where we can improve. You'll help us gather and organize information that supports thoughtful decisions about how we operate.

  • Track referrals and help us understand how prospective clients connect with our practice.
  • Generate reports from our electronic health record (EHR) system to monitor information such as appointment cancellations, reimbursement rates, and other practice metrics.
  • Help maintain accurate data and identify trends or inconsistencies that may need attention.

You won't be expected to know all of these systems on day one. We value curiosity, attention to detail, and a willingness to learn.

Keeping Our Space Welcoming

We believe the small details matter. While we have a regular professional cleaning service, you'll help us care for the everyday details that keep our office comfortable and welcoming between cleanings.

  • Keep shared spaces tidy and organized.
  • Maintain our hospitality station, including water, snacks, and other supplies.
  • Monitor and restock office supplies as needed.
  • Help with light office upkeep, such as watering plants, vacuuming shared areas, and taking out trash.

Please note that this job description is not designed to cover or contain a comprehensive listing of all duties. Responsibilities may shift as needed.

Skills & Experience

We're looking for someone who is comfortable working independently while staying connected to a team. Strong organizational skills, clear communication, and a willingness to learn are more important to us than knowing every system we use.

  • Brings warmth, patience, dependability, and attention to detail to their work, with a genuine interest in supporting both clients and colleagues.
  • Comfortable using computers, online platforms, and digital office systems in a primarily paperless environment.
  • Familiarity with Google Workspace and the ability to navigate Mac and Windows computers.
  • Able to prioritize responsibilities, manage details accurately, and follow through on tasks.
  • Open to learning, asking questions, and receiving feedback, with an interest in developing new skills and growing into greater responsibility over time.

Bonus Skills & Experience

The following experience would be helpful, but isn't required. We encourage you to apply even if you don't check every box.

  • 2–3 years of customer service, client support, or administrative experience, particularly in a healthcare or mental health setting.
  • Familiarity with electronic health records (EHR) systems.
  • Experience with insurance billing, payment processing, or administrative workflows in a mental health practice.
  • Familiarity with Google Business Profile, Instagram, or Facebook for business purposes.
  • Background or coursework in psychology, social work, or a related field. Students and recent graduates are welcome to apply.
