Keep the Details Organized and the Day Running Smoothly.
A missed appointment, an unanswered email, or a document that never reaches the right person can quickly disrupt a team's day. We’re looking for an Administrative Coordinator in Orlando, FL, to help keep office activities organized, coordinate routine requests, and make sure important tasks are followed through.
This role combines scheduling, communication, recordkeeping, and general administrative support. You’ll work with different team members, keep information up to date, and help ensure that everyday office processes run smoothly. It would suit someone who enjoys staying organized, keeping track of details, and helping others work more efficiently.
Day to Day
- Coordinate meetings, appointments, and calendar updates across the team.
- Prepare and organize documents, correspondence, and internal paperwork.
- Respond to routine emails and administrative enquiries.
- Maintain accurate digital records, spreadsheets, and office files.
- Track outstanding requests and follow up on pending tasks.
- Communicate schedule changes and important updates to relevant team members.
- Assist with preparing reports, presentations, and meeting materials.
- Organize digital documents and ensure information can be retrieved when needed.
- Monitor office supplies and coordinate replenishment when necessary.
- Help arrange meetings, including room bookings and preparation of materials.
- Check documents and records for missing or inconsistent information.
- Support communication between departments to keep requests moving forward.
- Assist with onboarding paperwork and other routine administrative processes.
- Handle business information professionally and maintain confidentiality.
What’s Important
You’ll need good organizational skills, clear communication, and the ability to manage several tasks without losing track of the details. Basic computer confidence is important, particularly with email, calendars, spreadsheets, and standard office software.
Previous administrative, office coordination, reception, scheduling, data entry, customer service, or clerical experience is useful, although training on internal systems and procedures will be provided.
We’re looking for someone who can:
- Keep records and documents organized.
- Manage changing priorities and follow through on tasks.
- Communicate professionally with colleagues and external contacts.
- Work independently while contributing to a wider team.
- Pay attention to detail and recognize when information needs correcting.
- Stay dependable and organized throughout the working day.
