About the role
The Manager will support the KGPPB Board of Directors (BOD) in overseeing daily administrative, financial, and operational activities. This individual will play a key role in member services, credit/loan evaluations, regulatory compliance, human resources, payroll, and managing investment or rental property portfolios owned by the cooperative. The successful candidate will serve as the primary operational link, attending board meetings and directly liaising with the Suruhanjaya Koperasi Malaysia (SKM) on behalf of the BOD.
Key responsibilities
- Attend BOD meetings twice a month and prepare official, accurate meeting minutes. Present critical updates to the Board, including membership status reports, loan applicants requiring approval, correspondence needing BOD attention, and staff matters. Ensure monthly Board of Directors allowances and meeting allowances are calculated and prepared by 1st week of every new calendar month.
- Assist in preparing comprehensive documentation for Annual General Meetings (AGM) and Kawasan AGM. Liaison directly with SKM on regulatory matters on behalf of the BOD.
- Monitor daily office administrative tasks and manage staff workflows for both the Main Office and the cooperative's BHP Station.
- Oversee membership transactions and financial operations to ensure daily activities run smoothly and in order.
- Handle end-to-end recruitment matters, screen candidates, arrange interview appointments for the BOD, and manage onboarding procedures (appointment letters, confirmation letters, staff orientation).
- Manually prepare monthly payroll (Main Office) in compliance with statutory requirements, coordinating with Finance for timely processing. Ensure prompt monthly submission of government forms (EPF, SOCSO, EIS, and PCB).
- Liaise with government statutory bodies for legal and administrative requirements. Maintain updated staff personal profiles and leave records. Compile and submit data to the Tax Consultant for yearly EA Form preparation.
- Support the evaluation of new investment ventures, properties, or retail projects. Resolve complex queries from cooperative members (teachers and education staff) regarding benefits, dividends, and claims.
- Execute ad-hoc projects and events as directed by the BOD Management.
About you
- Diploma or Bachelor's Degree in Business Administration, Finance, Accountancy, Co-operative Management, or a related field.
- Minimum 5 years of supervisory or assistant management experience, ideally within a cooperative (koperasi), financial institution, or credit society.
- Experience recording meeting minutes and presenting to executive boards is highly preferred.
- Proficient in Microsoft Office (Excel, Word), manual payroll computation, and basic accounting software.
- Strong corporate minute-writing skills.
- Fluent in Bahasa Melayu and English (written and spoken).
- High integrity, strong leadership and communication skills, meticulous attention to detail, and a member-first mindset.
