Join Sigma Therapies as the first voice our clients hear. We’re a clinician-led allied health practice offering psychology, occupational therapy, speech pathology and positive behaviour support across Perth. We have a team of around 20 clinicians. We’re growing, and we need a confident, super friendly admin who loves talking to people.
What you’ll do
You’ll start on new clients, taking each new enquiry from the first call to the first appointment. Our admin roles may change as we grow, so you’ll also need to be able to step into any admin job in the practice.
- Call every new enquiry and referral, usually the same day. A call always beats an email.
- Offer a real appointment time on that first call. We book first and sort the paperwork after, so no one feels stuck on a waitlist.
- Book clients with the right clinician, set them up in our system and send their service agreement.
- Keep referrals moving and let referrers know when their client is booked.
- Handle billing and funding when needed. That includes invoicing, NDIS and Medicare claims, payments and plan checks.
- Answer the phones and shared inboxes, and cover other admin roles when someone’s away.
About you
- Confident, super friendly and happy to pick up the phone. This matters more than anything else.
- A sales background. You know how to win people over and follow things through.
- Organised, good with computers and quick to learn new systems.
- Clear, friendly writing.
- Available full-time all year round. This role isn’t suited to anyone currently studying.
Healthcare, NDIS or Medicare admin experience is a bonus. So is experience with Splose or similar practice software, Xero, monday.com or Microsoft 365. We’ll train you on our systems.
Why you’ll like it here
- A permanent role with plenty of variety, in a practice that’s growing fast.
- Run by clinicians, not corporate. Changes get made quickly.
- Modern systems with a lot of the busywork automated. AI preps call notes and drafts emails for you to check, so more of your day goes to people.
- Full training and a supportive admin team.
- A friendly team with optional monthly socials, like bonfire nights, board games and darts.
Full-time is 37.5 hours per week.
